Greenhouse is looking for a People Success Coordinator to join our team!
In this role, you'll keep our internal communications and people programs running smoothly - from company wide meetings and Inside Greenhouse (our intranet) content, to recognition programs, offsites, and vendor logistics - so employees feel informed, connected, recognized, and engaged in our fully distributed environment.
You'll report to the Senior Manager, Internal Communications and act as a centralized operations coordinator for partners across Internal Communications (IC), People Experience (PX), IDEA (Inclusion, Diversity, Equity, and Allyship), and Organizational Development (OD). This includes hands-on coordination, procurement, communications, and people program support across the broader People Success team.

What you’ll do
- Support internal communications campaigns by responding to requests and maintaining the Internal Communications calendar and Asana projects
- Help operationalize company wide meetings (All Hands, AMAs) by supporting recording management, updating run-of-show and planning documents, keeping project trackers current, and other logistics as needed
- Maintain Inside Greenhouse content by liaising with content owners so pages stay accurate, published, and easy to navigate
- Coordinate annual Kickoff logistics, including budget tracking, watch-party host support, and other logistical needs
- Execute on People Experience (PX) programs, including Bonusly distributions, Golden and Silver Gnome award fulfillment, and general PX Workday ticket triage from employees across the organization
- Manage procurement and vendors for People Success COEs, including purchase orders, change orders, invoice processing, and vendor onboarding steps such as legal and security reviews
- Coordinate internal People Success rhythms, including QBRs, quarterly meetings, focus/feedback groups, and the monthly distribution of the People Team's executive leadership team update (The People Branch)
- Support offsites and events (for People Team and Employee Resource Groups) by coordinating travel, accommodations, food, and participant communications
- Assist Organizational Development programs by managing onboarding logistics, facilitator scheduling, new hire surveys, calendar invites, and Ivy League learning content updates - with growth opportunities to facilitate sessions and support new hires directly
- Additional projects and responsibilities as business needs require
You should have
- Strong attention to detail and organization, with comfort managing multiple tasks, lists, and stakeholders in a fast-paced environment
- Growth mindset and openness to feedback, with flexibility and adaptability as responsibilities evolve
- Willingness to roll up your sleeves, handle administrative work, and support a wide range of people programs and events
- Strong written and verbal communication skills, with comfort using tools like Slack, Zoom, Workday, and Google Workspace to collaborate asynchronously in a fully remote setting
- Ability to manage logistics and timelines, including calendars, budgets, attendee lists, and vendor processes
- Comfort working cross-functionally with colleagues across Internal Communications, PX, IDEA, OD, IT, Legal, Security, and Finance
- Interest in People / HR, Internal Communications, or Employee Experience and excitement about building your career in these areas
- Experience in coordination, events, operations, or administrative roles, through work, internships, campus roles, or volunteering, a plus
- Basic video editing or multimedia skills, a plus

The national pay range for this role is $60,800 - $85,200. Individual compensation will be commensurate with the candidate's experience and qualifications. Certain roles may be eligible for additional compensation, including stock option awards, bonuses, and merit increases. Additionally, certain roles have the opportunity to receive sales commissions that are based on the terms of the sales commission plan applicable to the role.
Greenhouse provides a variety of benefits to employees, including medical, dental, and vision insurance, basic life insurance, mental health resources, financial wellness benefits, and a fully paid parental leave program. For US-based employees, we offer short-term and long-term disability coverage, a 401(k) plan and company match. U.S. based employees also receive, per calendar year, up to 14 scheduled paid holidays and up to 80 hours of paid sick leave. Non-exempt employees accrue up to 20-25 days of paid vacation time annually, depending on tenure, and exempt employees have flexible paid time off (PTO).
