Position Overview
We are seeking a detail-oriented, commercially savvy Fleet Manager to take full ownership of our 160-vehicle fleet across its entire lifecycle — from sourcing and acquisition through daily maintenance and repair management, equipment transfers, and eventual disposal or resale. This is an individual contributor role focused entirely on the vehicles themselves, not driver management or dispatch.
The right candidate brings hands-on experience managing mixed commercial fleets (vans, box trucks, and heavier vehicles), knows how to negotiate with dealers, vendors, and repair shops, can build and manage a preventive maintenance program, and is comfortable working in both the field and the office. You will be the company's single point of authority on all things related to fleet assets and equipment.
Key Responsibilities
Vehicle Acquisition & Procurement
- Research, evaluate, and recommend new and replacement vehicle purchases, leases, or financing arrangements that meet operational needs and budget parameters.
- Develop and maintain relationships with vehicle dealers, upfitters, and manufacturers across the van, box truck, and larger commercial vehicle segments.
- Negotiate purchase prices, lease terms, and warranty packages, to maximize value for the company.
- Manage the vehicle ordering pipeline, tracking lead times, delivery schedules, and registration/titling for all incoming units.
- Coordinate vehicle upfitting (shelving, branding, telematics installation, safety equipment) prior to putting new units into service.
Fleet Maintenance Management
- Design and manage a preventive maintenance (PM) program for all 160 vehicles, including oil changes, tire rotations, brake inspections, DOT inspections, and scheduled manufacturer services.
- Serve as the primary point of contact for all repair and maintenance vendors — negotiate labor rates, parts pricing, and service agreements with approved shops and national fleet service networks.
- Track and manage all open repair work orders; prioritize urgency to minimize vehicle downtime and maintain fleet availability targets.
- Maintain accurate maintenance records for every vehicle in the fleet using fleet management software.
- Monitor vehicle health data from telematics systems; proactively identify vehicles trending toward breakdown or failure.
- Manage roadside breakdown response and coordinate towing/repair logistics to return vehicles to service as quickly as possible.
Vehicle Transfers & Equipment Management
- Coordinate the physical movement of vehicles between locations, terminals, and service facilities across MD, DE, VA, and WV.
- Manage the assignment and de-assignment of vehicles, ensuring accurate records of which vehicle is assigned to which terminal at all times.
- Track all fleet-related equipment (hand trucks, scanners, tablet, etc.) installed in or issued with each vehicle.
- Ensure vehicles are properly equipped per FedEx ISP standards and company policy before each assignment.
Asset Disposal & Lifecycle Management
- Monitor fleet age, mileage, maintenance cost trends, and reliability data to identify vehicles approaching end-of-life.
- Develop and execute vehicle disposal strategy — including trade-in negotiation, private sale, auction, and fleet remarketing channels — to maximize residual value recovery.
- Maintain a rolling fleet replacement plan and present lifecycle recommendations to leadership on a regular basis.
- Manage title transfers, de-registration, and insurance adjustments for all disposed vehicles.
Compliance & Regulatory
- Ensure all 160 vehicles maintain current registration, titling, state inspection certificates, and insurance coverage.
- Manage DOT annual inspection scheduling and recordkeeping for all commercial vehicles subject to federal requirements.
- Ensure fleet compliance with FMCSA vehicle maintenance standards (49 CFR Part 396) and applicable state regulations.
- Maintain driver vehicle inspection report (DVIR) records and ensure defect-reported items are resolved and documented promptly.
Fleet Budget & Reporting
- Track and report fleet cost-per-mile, cost-per-vehicle, and total cost of ownership (TCO) metrics to leadership on a monthly basis.
- Identify and implement cost-reduction opportunities in maintenance, procurement, fuel management, and vendor contracts.
- Maintain a complete and accurate fleet asset inventory at all times.
Qualifications
Required
- Minimum 4–6 years of fleet management experience in a commercial transportation, delivery, or logistics environment.
- Demonstrated experience managing mixed commercial fleets of 100+ vehicles, including vans, box trucks, and/or larger commercial vehicles.
- Strong knowledge of vehicle maintenance processes, preventive maintenance scheduling, and repair prioritization.
- Experience with vehicle acquisition, dealer negotiations, and lifecycle/disposal management.
- Proficiency with fleet management software, telematics platforms, and Microsoft Excel/Google Sheets for reporting.
- Knowledge of DOT vehicle regulations, FMCSA Part 396 maintenance requirements, and state registration requirements.
- Valid driver's license with a clean record; ability to operate vans and box trucks as needed for inspections and transfers.
- Strong vendor negotiation and vendor relationship management skills.
- Highly organized with the ability to track multiple concurrent projects and deadlines across a large, distributed fleet.
Preferred
- Bachelor's degree in business, Supply Chain, Logistics, or a related field — OR equivalent combination of education and directly relevant fleet experience.
- Certified Automotive Fleet Manager (CAFM) designation through NAFA, or willingness to pursue within 18 months.
- Experience as a FedEx ISP, Amazon DSP, or last-mile carrier fleet manager.
- Experience with fleet remarketing, wholesale disposal channels, or commercial vehicle auction platforms.
- Background in budgeting and financial reporting for fleet operations.

We offer a competitive compensation package benchmarked to current Fleet Manager salary data in the Mid-Atlantic transportation market..
