At GumGum, we move fast, innovate constantly, and push boundaries. We are looking for an exceptionally sharp, proactive, and adaptable Executive Assistant to serve as a critical force multiplier for our Chief Executive Officer (CEO) and Chief Revenue Officer (CRO).

In this role, you won't just manage schedules—you’ll drive strategic and comprehensive support across the office of the CEO and CRO. You will handle a dynamic mix of responsibilities, ranging from core administrative operational foundation (calendaring, complex travel, expenses) to high-level strategic alignment (stakeholder management, event planning, drafting executive communications, and market research compilation). Additionally, you will assist with key personal tasks to optimize the CEO's & CRO’s time and ensure leadership can focus on scaling the business.

We need a fast learner who natively thinks 10 steps ahead, operates autonomously, and balances razor-sharp execution with high emotional intelligence and total discretion.

What You'll Achieve

  • Master High-Volume Executive Calendars: Prioritize requests, resolve conflicts, and optimize schedules to align daily operations with CEO and CRO priorities.

  • Drive Executive Preparedness & Delegation: Brief leadership on upcoming commitments while assigning, tracking, and following through on project deliverables across teams.

  • Cultivate Stakeholder & Board Relations: Serve as a primary liaison to the Board of Directors and manage logistics for board meetings and executive offsites.

  • Act as Strategic Gatekeeper & Bridge: Serve as the trusted point of contact for time-sensitive matters, ensuring seamless communication across all department heads and external partners.

  • Own Executive Assets & Reporting: Maintain instant recall of pitch decks, design complex reports, and create compelling presentations for the CEO and CRO.

  • Manage Complex Operations & Logistics: Coordinate detailed domestic and international travel, process expense reports, and manage key stakeholder databases.

  • Drive Meeting Execution & Rapid Synthesis: Design agendas for executive and company-wide calls, capture key action items, and immediately distribute actionable meeting minutes.

  • Foster Organizational Alignment & Culture: Coordinate executive team retreats, champion culture-boosting milestones, and handle select personal tasks to maximize leadership bandwidth.

Skills You'll Bring

  • Technical Agility: Advanced proficiency in Google Suite and MS Office (Word, Excel, PowerPoint), with the ability to quickly master new digital productivity tools.

  • Autonomous Problem-Solving: Ability to manage high-volume projects independently, proactively anticipating requirements, mitigating risks, and executing with minimal oversight.

  • Speed & Organizational Mastery: Exceptional organizational skills paired with a strong sense of urgency to adapt swiftly and maintain follow-through in fast-paced environments.

  • Strategic Communication: Excellent written and verbal skills to manage key stakeholders, draft executive reports, compile rapid meeting summaries, and build cross-functional relationships.

  • Discretion & High EQ: Absolute integrity, sound judgment, and complete confidentiality when navigating sensitive information and engaging with executives and Board members.

  • Drive & Ownership Mentality: Relentless tenacity and a strong work ethic to drive initiatives forward without needing dedicated resources or hand-holding.

  • Strategic & Detail-Oriented Execution: Ability to balance big-picture strategic goals with precise, meticulous daily operational execution.

  • Adaptability & Resilience: Comfort navigating ambiguous or unstructured environments and pivoting smoothly as business priorities shift.

Preferred Qualifications

  • Academic Background: Bachelor’s degree or equivalent practical experience; relevant professional certifications are a plus.

  • Executive Support Experience: 3–5+ years of high-level executive support, with proven success supporting C-suite leadership (technology industry experience strongly preferred).

  • Track Record of High-Volume Management: Demonstrated success managing complex projects and high task volumes independently while anticipating risks before they arise.

  • Priority & Time Optimization: Proven ability to make informed, high-judgment decisions regarding executive priorities, calendar trade-offs, and time management.

What We Offer

At GumGum, competitive base pay is a part of a total rewards package which also includes benefits, an emphasis on recognition, development, and wellness. The reasonable estimated base pay range for this role is from $99,000 - $118,500 annually.  The actual amount may be higher or lower. Individual compensation will vary based on factors including, but not limited to, relevant qualifications, work location, and labor market conditions.

The total rewards package offered also includes an employer-matched 401(k) retirement plan, and depending on the role, participation in a bonus, commission, or stock incentive program. Note: GumGum fosters a flexible work environment, offering GumGummers the ability to work either in-office or remotely/from home. However, for occasional in-person collaboration, we kindly ask that this position be located within a 'commutable' distance to our office.
