Job Summary:  

As a Project Management Coordinator, you’ll work closely with our Operations team to provide administrative and operational support from project intake through completion. 

 

Key Responsibilities:

Handling  project intake:  reviewing contracts and entering project details into Monday.com

  • Organizing  and maintaining data across CRM’s (Hubspot, CompanyCam, Monday.com).  
  • Supporting homeowner communication efforts, sending check-ins, status updates, and general follow-ups.  
  • Coordinating with sales to gather missing information or resolve issues as needed.  
  • Routing projects to internal departments such as procurement, permitting and finance.  
  • Scheduling Site Managers in Monday.com, based on project location and team skill sets.  
  • Managing  logistics:  coordinating materials, timelines, and homeowner expectations.  

Qualifications & Skills

Detail oriented and dependable

  • An excellent communicator and team player
  • Comfortable using project management and CRM tools
  • Able to balance multiple tasks and priorities 
  • Prior experience in a support, coordination, or operations role is a plus
  • Familiarity with home improvement or construction industries is helpful

We’re looking for a Project Management Coordinator to join our fast-paced Operations team and assist in keeping projects running smoothly from start to finish!

What You’ll Do:

Entering and organizing project details in Monday.com

  • Reviewing contracts and supporting the intake process
  • Helping communicate with homeowners throughout the project lifecycle 
  • Collaborating with the Sales and Operations Team to fill in any gaps or resolve issues
  • Routing projects to internal teams (procurement, permitting, finance)
  • Assisting with scheduling field teams based on skill set and location
  • Following up on timelines, logistics, and materials coordination
  • Supporting CRM workflows across HubSpot,CompanyCam, and Monday.com 

 

What You Will Bring:

Strong organizational skills and attention to detail

  • Excellent communication and follow-up abilities 
  • Tech-savvy - you’re comfortable using CRM’s and project management tools
  • A proactive mindset with a team first mentality
  • Previous experience in an admin, ops or coordination role (bonus if in home improvement or construction) 
  • Must be fluent in a Mac-based work environment
