Position Overview

The business support associate is responsible for adding value to the organization by engaging with departments across the organization to assist them with project and process support. The role is expected to work collaboratively with employees across the organization and make connections with department leaders to identify expanded areas of support that the role can provide.

The business support associate is also tasked with a variety of general office operations including front desk coverage, telephone operations, receiving and distributing mail/packages, and providing a high level of customer service to all employees and visitors. Administrative support related to word processing, copying, and filing in a professional, respectful, and friendly manner on a day-to-day basis is required.

Essential Functions

  • Engages in support activities from departments across the organization on both a short and long-term basis.
  • Actively engages in project solicitation processes to further support various departments.
  • Welcomes visitors by greeting them, in person and on the telephone, answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories, providing instructions.
  • Maintains security by following procedures, including logging visitors appropriately.
  • Ships, receives, delivers, and processes mail and packages.
  • Triages intake of work tickets for various departments. 
  • Performs scheduling to ensure all proper resources are reserved and available to encourage successful and productive meetings for departments across the organization. 
  • Communicates effectively with both internal and external stakeholders.
  • Takes inventory, orders, and receives general office supplies.
  • Performs minute-taking duties for an array of committees and working groups.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Performs research on various enterprise-wide projects as overseen by the department manager.
  • Performs other related administrative duties and requests as assigned.

Job Requirements

Required:

  • High school diploma or equivalent.
  • Proficiency in Microsoft programs
  • Ability to travel on a limited basis, if needed
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future

Preferred:

  • Associate or bachelor’s degree
  • At least 3 years of experience in the field or in a related area
  • Property/Casualty insurance knowledge
  • Project management experience
  • Basic accounting/budgeting knowledge

Department Overview

The Enterprise Support Team is designed to deliver high-touch administrative support to all departments with the goal of providing value added services that enable HAI Group’s mission, vision, and values to our customers. The department interacts with both external and internal customers and team members, ensuring that all service recipients receive exceptional customer service. Some tasks are owned and wholly operated by the department, such as managing incoming and outgoing mail, covering the main phone line, greeting visitors at the front desk, and managing office supply inventory. Those functions are intended to be completed in an efficient manner that allow the department to focus on its short and long-term support of other departments, alleviating the capacity of other departments as it relates to their administrative needs. The team also serves a role in ensuring administrative support is provided to the Executive Leadership Team, fielding both regular support and ad hoc requests, daily.
