Position Summary:
The Logistics Invoice Payment Associate is responsible for the accurate and timely processing, verification, and reconciliation of transportation and logistics-related invoices. This role ensures that carrier and vendor payments are aligned with contracted rates, shipment records, and service level agreements, supporting cost control and operational efficiency within the supply chain.
Key Responsibilities:
- Review and verify logistics and transportation invoices for accuracy, completeness, and compliance with contracts and purchase orders.
- Match invoices against shipment records (e.g., Bills of Lading, Proof of Delivery) and resolve any discrepancies.
- Collaborate with internal teams (Logistics, Finance) and external vendors to investigate and resolve billing issues.
- Process invoice approvals and submit for payment in accordance with company policies and payment terms.
- Maintain up-to-date records of all invoice transactions and ensure proper documentation for audits.
- Monitor aging reports and follow up on outstanding or disputed invoices.
- Support monthly, quarterly, and annual closing activities by preparing invoice and payment reports.
- Recommend process improvements to enhance invoice accuracy and payment cycle efficiency.
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, Supply Chain, or a related field preferred.
- 1–3 years of experience in invoice processing, preferably in a logistics, transportation, or supply chain environment.
- Familiarity with freight terms, transportation documentation, and third-party logistics providers (3PLs).
- Proficiency in Microsoft Excel and experience with ERP or financial systems (e.g., SAP, etc.).
- Strong attention to detail, analytical thinking, and problem-solving skills.
- Excellent communication and interpersonal abilities.
Preferred Skills:
- Experience working with TMS (Transportation Management Systems) and freight audit platforms.
- Understanding of domestic and international logistics cost structures.
- Ability to work in a fast-paced, high-volume environment.
