ROLE OVERVIEW
The role will have a dual reporting line into Director of Talent (who provides personal management and mentoring support) and the President. This role sits within the Engine the central function of the business and will contribute to the smooth running of the teams and office.
Responsibilities will focus on the President and the Chairman, representing their interests internally across the company and being an external ‘ambassador’ on their behalf to clients, potential clients, journalists, senior politicians and other business contacts.
The role encompasses Hanover Leadership Board responsibilities, maintaining an impeccable standard of attention to detail, operating with discretion and confidentiality at all times.
Also provides light diary management support to 5 Managing Directors – in Healthcare, Sport, Corporate, Advocacy and Corporate & Public Affairs.
The role will be based on a 5 day working week, with 3-4 days a week in the office (as required by the President)
PRIMARY RESPONSIBILITIES:
- Diary management & travel arrangements for President and Chairman, as well as Outlook inbox management for President
- Attending fortnightly HLB meetings, setting agendas, taking minutes and facilitating actions and follow ups on risk register and other regular items
Creation of monthly company meeting slides, working with People Assistant
- Oversight of all internal comms and client interaction across business to identify need for President involvement, bringing issues or updates to his attention when deemed necessary
- Organisation of HLB off site meetings, including logistics, budget management, location, venue selection, preparation of agenda and all team presentation decks
- Client and HLB entertainment, ensuring clients are taken to the most appropriate venues for lunches and dinners. Booking venues and travel arrangements when required
- Light diary management for 5 Managing Directors, booking lunches and external meetings with clients
- Collation and process of expenses for President across company credit cards and inputting onto Maconomy
- Scheduling regular meetings with President’s direct reports including annual appraisals, mid year check-ins
PERSON SPECIFICATION
- Prior experience working in an admin, PA or EA role in a fast-paced office environment
- Excellent verbal and written communication skills
- Experience working as part of a team and making a positive impact
- A can-do attitude, proactive nature and confidence to deal with very senior colleagues
- Excellent Microsoft Office skills (Outlook, Excel. Word, Power Point) and ChatGPT
