The Position
The Account Services team directly supports Client Service Teams and other Middle Office operations, including Portfolio Accounting, Portfolio Implementation, Security Data Management, and Legal, to manage client account onboarding and maintenance. The Supervisor, Account Services will manage all aspects of investment operations relating to the daily core tasks supporting new account onboarding for Institutional and Private Wealth Management accounts, account maintenance, terminations, vendor management of the prime broker, and cashiering activities. In addition to serving as the main point of escalation and primary backup for daily production work, the Supervisor will have primary oversight over organization of the team’s daily production work, ongoing projects and department initiatives. This individual is also responsible for vendor management, process improvement, control oversight, training, and issue tracking.
Success in this role will require regular meetings with management to provide status updates, escalate issues, and ensure team’s progress on meeting firm wide and department goals. This individual will need to excel in a high-volume, time-sensitive environment and be proactive in establishing productive relationships with key stakeholders throughout the process. This position will serve in both an individual contributor role and leadership role reporting to the Senior Director, Operations.
Responsibilities
- Collaborate with the Director to develop and implement team strategies aligned with firm-wide goals.
- Evaluate current processes, implement effective controls, and recommend improvements to create efficiency for the organization utilizing solid business judgement and critical thinking to identify and mitigate risk.
- Develop annual team goals and support direct reports in creating and executing their development plans.
- Lead the annual performance review process for all team members.
- Conduct regular 1-on-1 meetings with team members to address issues, foster engagement, and track progress.
- Structure and manage daily production tasks, including interactions with custodians, prime brokers, disbursements, and account maintenance.
- Manage and delegate project responsibilities, track progress, and ensure accountability and timely completion.
- Oversee onboarding of new Institutional and Private Wealth Management accounts.
- Serve as the subject matter expert and escalation point for all production-related tasks.
- Act as the primary contact for new Account Services initiatives and issues, fostering strong relationships with internal business units.
- Own incident management reviews and presentations related to Account Services.
- Design and deliver training programs for new employees, including on-the-job training and performance assessments.
- Assess and manage vendor and custodian performance, escalating issues as needed.
- Manage key vendor relationships, ensuring the organization of vendor contract information, disaster recovery information, and control of user access rights.
- Lead all audit-related activities, including SOC 1 and internal audits.
- Oversee employee corporate action voting processes.
Qualifications
Required
- Bachelor of Science degree in Finance, Accounting, or related field with a minimum of 5 years of experience working in a financial services organization.
- Strong organizational and leadership skills with the ability to delegate and manage detailed project plans.
- Proven ability to prioritize and coordinate multiple tasks simultaneously in a rapidly changing, client-driven, deadline-oriented environment.
- Experience leading technology initiatives focused on process automation and efficiency.
- Self-starter with the ability to assess, explain, and solve complex problems.
- Excellent attention to detail with a high degree of accuracy and control mindset with focus on minimizing errors.
- Ability to quickly learn new software and document new procedures.
- Commitment to training and mentoring team members while meeting personal objectives.
- Experience managing vendor relationships.
- Excellent verbal and written communication skills.
- Effectively manage team resources to ensure proper coverage.
- Proficiency in Microsoft Excel, Word, and Outlook.

- Experience using Advent Axys or other portfolio accounting systems
- Experience using Adobe Acrobat Pro X

Actual annual base salaries may vary based on factors including but not limited to education, training, experience, and other job-related factors. If hired, base pay will be determined on an individualized basis and is only one part of the total compensation package, which, depending on the position, may also include a discretionary performance bonus and other Harris sponsored benefit programs.
Expected range for this Chicago-based role
$110,000 - $130,000 USD
