Executive Assistant
HawkEye 360 is seeking a proactive Executive Assistant to support the COO and ensure the smooth day-to-day operations of the team.
As the Executive Assistant, you will provide high-level administrative and organizational support to the COO and collaborate closely with senior leadership. You’ll play a vital role in managing executive calendars, coordinating complex travel, and supporting communications across the organization.
Your main responsibilities will be:
- Provide executive-level administrative support to the President of the COO.
- Manage and coordinate complex travel arrangements, including flights, accommodations, visas, and logistics.
- Oversee scheduling and facilitate executive calendars, meetings, and engagements.
- Prepare and submit expense reports using Concur.
- Schedule and attend meetings on behalf of the executive; take accurate notes and record minutes.
- Prioritize and manage multiple projects and requests, ensuring the executive is well-informed and prepared.
- Serve as a liaison with internal and external stakeholders, anticipating and addressing needs proactively.
- Handle general office duties such as maintaining records, ordering supplies, and basic bookkeeping.
- Draft professional correspondence, memos, reports, and other documents for senior staff.
- Perform additional duties as assigned to support team operations.
Your skills and qualifications:
Essential education and experience:
- Bachelor’s degree in Business Administration or a related field, or equivalent experience.
- Minimum of 3 years of experience in an administrative support role, preferably supporting senior executives.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); ability to quickly learn new tools and platforms.
- Exceptional written and verbal communication skills.
- Strong interpersonal skills and the ability to work collaboratively across departments.
- Excellent organizational, problem-solving, and critical thinking skills.
- Ability to multitask, prioritize effectively, and manage shifting deadlines in a fast-paced environment.
We offer a compensation package that includes a competitive base salary plus annual performance bonus and benefits. We consider many factors when determining salary offers, such as candidate's work experience, education, training & skills, as well as market and business considerations. We are also open to considering candidates with experience and qualifications at a different level than required in a job posting, which may affect the compensation package offered.
Salary Range
$75,000 - $110,000 USD
