JOB DESCRIPTION

 

Job Title:             Administration Clerk

Reports to:         Guam Branch Manager

FLSA Status:       Non-exempt

Division:              HPC

Department:      Admin

Locations:           Guam

 

POSITION SUMMARY: Under the direction of the Branch Manager, the Administration Clerk will be responsible for answering all incoming phone calls and greeting walk-in customers and vendors. The Administration Clerk is responsible for the distribution of incoming, outgoing, and inter-office mail.  The Administration Clerk maintains a high standard of business ethics and professionalism.

 

ESSENTIAL FUNCTIONS:

  1. Sorts and distributes all mail according to destination such as facility location, department, etc. 
  2. Runs postage and prepares outgoing mail for pick up.
  3. Processes certified and registered mail and proof of mail.
  4. Maintains a high degree of accuracy and professionalism in all typed correspondence.
  5. Serves as a cashier for the Guam Parts Department. Records cash sales documents on a cash sheet form and prepare deposit slips daily to include daily cash box balances.
  6. Processes freight account payable invoices. Research to get proper coding and vouchers the invoices either by scanning to San Diego or inputting them on SharePoint.
  7. Keeps inventory of all office supplies for the branch. Prepare orders for the replenishment of supplies, as needed.  Processes all requests for office supplies and equipment from department managers/representatives.  All routine orders to be approved by department managers and any large orders to be approved by the Branch Manager.
  8. Assists with the upkeep of visitor’s board.
  9. Maintain appointment calendar.
  10. Assist service, parts, rental, and sales departments with administrative support.
  11. May be tasked with operating own vehicle for company purposes. Eligible for mileage reimbursement.
  12. Performs other duties as assigned.

 

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  1. Must have a high school diploma or equivalent.
  2. Must have a valid Driver’s License with a good driving record.
  3. Must have PC skills.
  4. Must have a minimum of one year’s experience in an office environment.
  5. Maintains a high degree of accuracy and professionalism in all typed correspondence
  6. Good verbal and communication skills.

 

PHYSICAL DEMANDS:

  1. Walking: Moves about on foot, often through uneven terrain.
  2. Handling: Seizes, helps, or works with hands.
  3. Lifting: Raises or lowers miscellaneous paperwork.
  4. Reaching: Extends hands and arms in any direction.
  5. Stooping: Bends body downward and forward by bending at knees or waist.
  6. Standing: Remains in standing position if required to perform various functions of the job.
  7. Vision: Reads computer and paperwork.
  8. Talking: Communicates by phone and in person.
  9. Sitting: Sits at desk for extended periods.

 

ENVIRONMENTAL:          

  1. Noise: Works in conditions with constant or intermittent noise.
  2. Temp/Weather: Works in an office environment.
