The Role:

The Mental Health Clinical Operations Coordinator plays a key role in ensuring smooth onboarding, documentation readiness, and accurate scheduling for our contracted mental health providers. Hazel Health’s unique school- and home-based care model supports a variety of therapist contract types, and this role ensures our 1099 providers are well-prepared and set up for success.

As one of the first and most consistent points of contact for new and existing contracted clinicians, this person helps shape the provider experience—setting the tone for Hazel’s culture, values, and clinical expectations. By modeling clear communication, professionalism, and high standards, you’ll directly influence the quality and consistency of our clinical care.

This role collaborates closely with cross-functional teams and supports a wide range of administrative and operational processes related to therapist onboarding, scheduling, and invoice review.

What You’ll Do:

Clinical Onboarding & Support

  • Serve as the primary point of contact during the onboarding process, setting clear expectations and communicating Hazel’s clinical standards
  • Guide new therapists through asynchronous onboarding and training with support from the Clinical Training Specialist
  • Address frequently asked questions related to documentation, CPT codes, clinical workflows, and technology use; escalate complex clinical questions as needed
  • Partner with Clinical Operations and Credentialing teams to ensure providers are clinically and operationally ready to begin care

Scheduling Management

  • Manage and update therapist schedules in the scheduling platform, ensuring alignment with school-year calendars and program needs
  • Coordinate with therapists and program managers to maintain accurate, optimized schedules that reflect contract terms
  • Identify and flag scheduling gaps, inconsistencies, or conflicts to the appropriate internal teams

Invoice Reconciliation

  • Review therapist-submitted invoices for accuracy, focusing on alignment between session data, documentation completion, and scheduling records
  • Cross-check invoices with internal platforms and escalate discrepancies to Finance or Clinical Operations as needed
  • Maintain timely, professional communication with therapists to resolve invoice-related questions or issues

What Excites Us:

  • Prior experience in healthcare, mental health, or telehealth operations—especially in clinician onboarding or support
  • Familiarity with behavioral health documentation, clinical workflows, or telehealth practices
  • A high sense of ownership and commitment to supporting new clinicians in a warm, professional, and responsive manner
  • Excellent written and verbal communication skills; ability to build rapport and convey clear information
  • Spanish fluency (spoken and written) is strongly preferred
  • Meticulous attention to detail, especially when reviewing documents or reconciling data
  • Proficiency with tools such as Google Workspace, EHR systems, scheduling platforms, and project management tools
  • Ability to work independently, adapt quickly, and manage time effectively in a fast-paced virtual environment
  • A reliable internet connection and a quiet, professional home workspace
