JOB DESCRIPTION

Title: Manager of IT and Enterprise Systems 
Reporting To: Chief Digital, Technology & Data Officer (CTDO)
Location: Remote (U.S.)

ROLE SUMMARY

We're hiring a Manager of IT and Enterprise Systems to bring operational discipline to HCEsquared's technology stack. As a PE-backed specialty healthcare education platform expanding beyond dermatology, every new market depends on a well-governed, reliable technology foundation — and our SaaS footprint has outgrown its governance.

You'll own the enterprise software portfolio, lead tool consolidation, project-manage priority implementations, and keep IT operations reliable. You'll also run a structured audit of repetitive workflows across every team to identify where automation and AI agents can cut operational burden, shaping our technology investment roadmap. The right person is equally comfortable negotiating a vendor contract, running an implementation, and interviewing a team lead about their most painful workflows.

  • Operational efficiency audit completed with a prioritized automation roadmap delivered to the CTDO

RESPONSIBILITIES

  • Own the enterprise software portfolio: Maintain an audited inventory of software and licenses, manage renewals and vendor relationships, partner with Finance on the software budget, and eliminate waste.
  • Lead tool consolidation and governance: Rationalize overlapping tools, set clear standards for which platforms own which workflows, and drive adoption. Monday.com is our work OS of record — consolidating onto it and integrating with Linear, Salesforce, and Slack is a near-term priority. Handoffs should be automatic, not manual.
  • Project-manage software implementations: Own end-to-end delivery of new rollouts — cross-functional coordination, planning, vendor management, and adoption. Several high-priority implementations with hard deadlines land in your first six months.
  • Lead an operational efficiency audit: Interview every team lead to map repetitive workflows (trigger, steps, owner, time, frequency), score impact vs. complexity, and deliver a ranked agent opportunity register to the CTDO. Primary deliverable in your first 90 days.
  • Ensure IT operations reliability: Oversee day-to-day IT — devices, access, onboarding/offboarding, security — in partnership with our MSP.
  • Monitor adoption and compliance: Track tool usage, flag under-utilized investments, drive corrective action, and surface optimization opportunities to the CTDO.
  • Be the technology partner for the business: Go-to for department leads on tool evaluations, implementations, and IT issues; represent Technology in cross-functional planning.

REQUIREMENTS

  • Demonstrated leadership essentials as described above
  • 4-year degree from an accredited academic institution 
  • 5+ years in IT project management, enterprise software administration, or technology operations
  • Proven ability to manage a broad SaaS portfolio — renewals, contracts, vendor relationships, license governance
  • Hands-on PM experience delivering software implementations on time and in scope, including change management
  • Hands-on Monday.com experience (configuration, automation, adoption) strongly preferred. Familiarity with Salesforce, Gong, Slack, and Miro/Figma a plus.
  • Experience with workflow automation tools (Zapier, Make, or similar) connecting business systems
  • Structured thinker — runs stakeholder interviews, maps workflows, and communicates recommendations clearly
  • Experience partnering with managed service providers (MSPs)
  • Software and IT budget management experience
  • Healthcare, media, or education industry experience preferred
