Health Link, a respected Home Health Agency in the San Francisco Bay Area, is seeking a highly organized, proactive, and motivated Executive Operations Assistant to support our leadership team. This full-time, in-office role plays a vital part in the day-to-day operations of the company and offers a unique opportunity to contribute meaningfully to a mission-driven organization that delivers exceptional patient care.


Position Overview

As the Executive Operations Assistant, you will work closely with the leadership team to manage company operations, track priorities, and support the execution of key initiatives. This is not a traditional administrative role — it’s an operationally focused position that ensures follow-through on priorities, drives cross-departmental coordination, and alignment across the organization.


Key Responsibilities

Operational & Project Support:

  • Support the execution of company-wide initiatives and department goals

  • Manage and follow through on tasks delegated by the Leadership team

  • Assist in project planning, coordination, and follow-up on high-priority initiatives

  • Help implement and monitor operational workflows and performance indicators

  • Support day-to-day coordination across departments to ensure smooth operations

Executive Coordination:

  • Manage calendars, meeting logistics, and deliverables for the leadership team

  • Prepare agendas, presentations, reports, and internal communications

  • Maintain organized systems for tracking initiatives, deadlines, and progress

Cross-Functional Collaboration:

  • Serve as a liaison between leadership and internal teams

  • Support communication flow, task delegation, and accountability across departments

  • Identify process gaps and assist with driving solutions

Administrative Oversight:

  • Track operational data, payroll reports, and departmental performance metrics

  • Maintain accurate records, contacts, and documentation

  • Support leadership meetings, ensuring timely execution of action items


Qualifications & Skills

  • 3+ years in an operations, coordination, or project support role (healthcare preferred)

  • Strong organizational and multitasking skills, with excellent attention to detail

  • High emotional intelligence, discretion, and professionalism

  • Proficient in Google Workspace, Microsoft Office, and project/task management tools

  • Comfortable working in a fast-paced environment with shifting priorities

  • Ability to collaborate cross-functionally and take initiative without close supervision
