Heartflow is looking for a Medical Education Specialist to support our speaker bureau. We are on a trajectory for growth and there is a lot of opportunity to grow alongside the company.
Position Overview
We are seeking a highly organized and detail-oriented Medical Education Specialist to join our Medical Affairs team. This role will serve as a vital link between our sales team and our healthcare professional (HCP) speakers/faculty, ensuring smooth coordination of education events, meetings, and communications. The ideal candidate is proactive, adaptable, and thrives in a fast-paced environment where time zone conversions, process improvements, and clear documentation are essential.
Key Responsibilities
- Coordinate and schedule meetings, events, and educational engagements between the sales team and our faculty educator HCPs.
- Manage calendar invites across multiple time zones with precision and accuracy.
- Document conversations and maintain accurate records of communications with faculty.
- Partner with the Medical Affairs and Sales teams to streamline workflows and improve processes.
- Provide administrative support for program execution, including logistics, follow-up, and tracking.
- Utilize tools such as Salesforce, Google Suite, and Monday.com to manage tasks, projects, and communications.
- Serve as a point of contact to ensure seamless collaboration and timely follow-up.
Qualifications
- Bachelor’s degree or equivalent experience.
- 2+ years of experience in a coordination, operations, or related medical education role (healthcare, medical affairs, or life sciences experience preferred).
- Strong attention to detail and ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Salesforce, Google Suite, and Monday.com (or similar tools).
- Strong problem-solving skills and ability to anticipate needs.
- Comfortable working with cross-functional teams and external stakeholders.
A reasonable estimate of the base salary compensation range is $70,000 to $100,000 per year and cash bonus. #LI-Hybrid
