The Care Coordinator’s primary responsibility is to ensure the patient’s studio experience is world-class. This includes the patient leaving feeling their treatment was outstanding, the next steps in care are clearly understood, their financial obligations resolved and articulated clearly, and their next visits are planned and prepared.
To deliver the best experience, the Care Coordinator will act as the clinician and patient liaison. They are knowledgeable about dental treatment and timeframes and will be able to explain treatment plans and reasons for diagnosis. They also coordinate, as needed, with other studios and providers within the organization, making sure referrals and correspondence are received and followed up on. The Care Coordinator is ultimately a patient advocate and works to ensure Tend’s patients are able to receive the care that they need.
Full Time Schedule:
- 4 days per week and 2 Saturdays per month

Responsibilities:
- Welcome & comfort guests as they visit our Tend studio.
- Patient check-in/check-out.
- Partner with the Studio Manager in daily operational tasks, such as scheduling, tidying, preparing for opening/closing
- Collaborate with the Studio Team, including our Dentists & clinicians, to optimize operations to impact guest experience, resulting in positive customer feedback.
- Create and present restorative and specialty treatment plans to patients with confidence and kindness.
- Be the financial guide for the patient in the studio (i.e. insurance, patient responsibility, prior balances, and procuring financing).
- Advocate for patients and help resolve issues in real time using tools such as discounting and scheduling flexibility.
- Participate in huddles providing vital information for same-day treatment, positive patient experience, and case acceptance.
- Maintain a safe and clean working environment by complying with policies, procedures, rules, and regulations.
- Utilize administrative time to prepare schedules for the next day, week, and month to meet studio goals/targets.
- Follow up with patients within designated time frames to ensure understanding of treatment plans, resolve outstanding issues, and promote continued member satisfaction.
- Respond to patient inquiries, address concerns, and provide accurate information about dental procedures, fees, and insurance coverage.
- Additional duties as assigned.
Qualifications & Experiences:
- 1-2 Years Experience in health care is required (dental experience preferred)
- Experience with Dentrix is a plus
- In-depth knowledge of dentistry is preferred.
- An understanding of dental coding, insurance claim processing, and benefits coordination.
- An understanding of handling billing and payment collection, including explaining fees and insurance benefits, discussing payment options, and processing payments
- Confidence in presenting treatment plans and addressing patient concerns to encourage case acceptance
- Strong written and verbal communication skills.
