Executive Administrative Assistant

Purpose: The Executive Administrative Assistant performs diversified clerical and administrative duties for Executives of the Company.  The Executive Administrative Assistant works with other department personnel to meet period end requirements and overall strategic Company goals.

Essential Duties

  • Act as an internal and external liaison for executives to members of the board of directors, investors, key vendors, regulators, media, etc. regarding a multitude of topics, situations, and issues.
  • Create and prepare analyses, memos, presentations, and other documents, using spreadsheets, word processing, presentation, or related software.
  • Preparation and review of executive expense reports
  • Management of the company procurement card program including working with the procurement card vendor on all aspects of the program, managing permissions, working with all Crystal Clean (CC) employee who have procurement cards.
  • Manage and maintain executives’ schedules, schedule internal and external meetings including making travel arrangements.
  • Develop a good rapport with all fellow CC employees.
  • Plan, schedule, and coordinate: quarterly management meetings, rating agency meetings, audit committee meetings, etc. including arranging for meeting space, arranging for/providing food, drinks, snacks, etc. and working with vendors to provide for all of these aspects.
  • Perform other clerical and administrative duties.
  • Manage storage of corporate documents including negotiate with vendors, arranging for service, etc.
  • Exemplify CC company values at all times and be an example for the rest of the corporate office staff regarding CC company values. Always conduct oneself in a professional manner.
  • Demonstrate problem-solving skills as necessary to meet assigned objectives.
  • Take on new duties and develop new skills to facilitate achievement of assigned objectives.
  • Become an expert on the Travel Management Platform, and be an advocate for it’s usage.
  • Support other managers within the CFO & Chief Administrative Officers’ purview.

Work Experience

  • 5 years’ experience minimum

Education, Certificates, Licenses, or Designations

  • High School Diploma
  • Some college preferred.

Specific Skills

  • Excellent knowledge of all Microsoft Office applications

Work Environment: While performing essential duties of this position an individual regularly works indoors and may be required to sit for long periods. Individual will be required to regularly talk, hear, see, and often reach with hands, stand, walk, use a computer keyboard, mouse, telephone, and other office equipment.
