Role Overview
The Receiving Specialist is responsible for the accurate and efficient intake of all incoming materials, components, and equipment at Heven AeroTech’s Winchester, VA facility. This role is critical to maintaining the integrity of our aerospace supply chain by ensuring all received goods meet strict quality, documentation, and traceability standards. Success in this role requires a hungry mindset to take ownership of inbound flow and resolve issues quickly, a humble approach to collaborating across Logistics, Quality, and Production teams, and a smart, detail-driven mindset to ensure accuracy, compliance, and traceability in a regulated environment. The Receiving Specialist works closely with the Director of Logistics, Quality Assurance, and Production teams to support uninterrupted manufacturing operations.
Key Responsibilities
- Unload, inspect, and verify all incoming shipments against purchase orders, packing slips, and airway bills for accuracy and completeness
- Perform visual inspections of incoming parts and materials for damage, non-conformance, or discrepancies; quarantine and document any suspect items
- Confirm part numbers, revision levels, quantities, and certifications (e.g., C of C, FAA 8130-3) meet aerospace quality requirements
- Accurately log all received goods into the ERP/MRP system in a timely manner
- Maintain complete receiving records in accordance with AS9100, FAA, and internal QMS requirements
- Ensure material traceability documentation is captured, stored, and retrievable for all safety-critical and flight hardware
- Process returned materials and support supplier discrepancy reports and corrective actions
- Prepare daily receiving logs, discrepancy reports, and inspection records
- Stage and route materials to storage, production, or inspection hold areas
- Collaborate with Inventory Control and Procurement to reconcile shipping discrepancies
- Support cycle counts and physical inventory audits as needed
- Maintain a clean, organized, and safe receiving dock in compliance with 5S standards
- Communicate daily with Logistics leadership regarding inbound status, expediting needs, and backorders
- Coordinate with Quality Assurance on incoming inspection holds and First Article Inspection (FAI) activities
- Work with Production Planning and Procurement to prioritize critical inbound materials
- Interface with carriers and logistics providers to resolve delivery issues
Required Qualifications
- High school diploma or GED required; associate’s degree in Logistics, Supply Chain, or related field preferred
- Minimum 2 years of receiving, warehouse, or materials handling experience (aerospace, defense, or regulated manufacturing strongly preferred)
- Working knowledge of ERP/MRP systems and Microsoft Office Suite
- Ability to read and interpret purchase orders, packing lists, bills of lading, and certifications
- Familiarity with AS9100 Rev D quality management and traceability standards
- Forklift certification or ability to obtain within 60 days
- Ability to lift up to 50 lbs unassisted and work in a physically active environment
Preferred
- Experience with DPAS-rated orders, government/defense supply chains, or ITAR-controlled materials
- Familiarity with FAA regulations, 8130-3 airworthiness forms, and serialized part tracking
- Experience with barcode scanning systems and warehouse management systems (WMS)
- Forklift experience (reach trucks, sit-down forklifts, pallet jacks)
- Exposure to aerospace manufacturing or UAS environments
Physical Requirements
- Ability to lift, carry, push, or pull materials up to 50 lbs unassisted; team lift required for heavier items
- Ability to stand, walk, bend, stoop, and reach for extended periods throughout the workday
- Ability to operate forklifts, pallet jacks, and other material handling equipment (with certification or ability to certify)
- Ability to work in a warehouse and receiving dock environment with exposure to moderate noise, temperature variation, and industrial activity
- Ability to safely navigate busy production and logistics areas while maintaining awareness of surroundings
- Ability to maintain focus, accuracy, and attention to detail in a fast-paced operational environment
- Ability to work occasional overtime as needed to support receiving flow and production demands
- Ability to wear required personal protective equipment (PPE) including safety shoes, gloves, and eye protection
