Operations Assistant – Toronto (6 month contract)

We are currently seeking an Operations Assistant to join our team in Toronto, ON.
This Assistant works within the Thunderfire General Management Team and reports to the Site Manager. He/She will help to organize and support daily operations in-office; handle tasks delegated to them by the Site Manager and Operations Coordinator in Montreal and other tasks that may arise, as well as performing secretarial and administrative duties.
Responsibilities include:
- Managing day-to-day operations of the administration and staff members.
- Maintain office organization and ensure necessary supplies are stocked, and all equipment is functioning and well-maintained.
- Handle daily meal service deliveries, ensuring proper meals are delivered and distributed to employees.
- Cultivate and maintain positive relationships with various suppliers and property management to ensure high-quality, cost-effective purchases and a conducive workplace environment.
- Collaborate with the site manager and Operations Coordinator to liaise with accounting, legal, and management teams in China for budget control, expenditure monitoring, processing reimbursements, and handling other financial matters.
- Support Human Resources and IT team in employee’s onboarding process.
- Assist the site manager in planning, scheduling, and promoting office events such as meetings, conferences, interviews, orientations, and training sessions.
- Ensure compliance with regulations by staying updated with relevant laws and addressing any compliance issues.
- Assist with special projects and events, tracking progress towards company objectives.
Qualifications and Skills:
- 3 years of relevant experience
- Excellent verbal and written communication skills.
- Strong organizational and interpersonal skills
- Diplomatic and tactful approach to handling tasks
- Adaptability to varying work demands.
- Proficiency with Microsoft Office Suite
- Curious and willing to learn
