Overview 

The NPI Operations Associate supports the execution of the New Product Introduction (NPI) process within Operations. Reporting to the SVP of Operations, this role focuses on detailed project coordination, systems execution, and artwork management to ensure successful product launches.

This individual will initially manage lower-complexity projects and provide operational, and systems support across multiple launches. The role has a strong emphasis on systems work (NetSuite item setup, BOM creation, code creation, data integrity) and artwork element collection, routing, and tracking for approval.

 

What You’ll Do 

NPI Process Support

• Support execution of the New Product Introduction Stage Gate process from project initiation through commercialization.
• Manage lower-complexity launches and line extensions under the guidance of the NPI Operations Manager and SVP of Operations.
• Maintain and update detailed development timelines in collaboration with cross-functional teams.
• Track task completion and follow up with stakeholders to ensure deadlines are met.
• Prepare meeting materials and document action items and decisions from weekly cross-functional meetings.
• Escalate risks and timeline concerns to the manager as needed.

Systems & Data Management 

• Create and maintain item setup in NetSuite (SKUs, codes, attributes, costing fields).
• Build and manage Bills of Materials (BOMs) with high accuracy.
• Support formula and packaging component alignment within systems.
• Maintain data accuracy across NetSuite and other internal systems.
• Audit system entries to ensure consistency between technical specs, BOMs, and artwork.
• Assist in documentation control and file management for launch readiness.
• Support data cleanup and systems optimization initiatives.

Artwork Management

• Gather artwork elements from cross-functional teams (regulatory copy, claims, shade names, INCI lists, etc.).
• Compile and validate required inputs prior to artwork routing.
• Route artwork files for review and approval across stakeholders (Regulatory, Marketing, PD, Packaging, Quality).
• Track approval status and maintain version control.
• Ensure approved artwork aligns with BOM and system data prior to commercialization.
• Support archive management of final files

Cross-Functional Coordination

• Partner with Product Development, Marketing, Packaging, Creative, Regulatory, Finance, and Supply Chain to collect required launch inputs.
• Support vendor communication related to specifications and data clarification.
• Assist manufacturing and supply chain teams with documentation required for production readiness.
• Support post-launch documentation updates and process tracking

Process & Continuous Improvement

• Identify opportunities for improving documentation accuracy and process clarity.
• Support stage gate documentation and template updates.
• Participate in post-mortem documentation and lessons learned tracking.
• Assist in sustainability and innovation tracking where applicable

Ad Hoc Support

• Provide operational and documentation support for special projects.
• Assist in cost data compilation and feasibility documentation (as directed).
• Support compliance documentation preparation.

 

What We Are Looking For 

• 1–3 years of experience in project coordination, packaging, operations, supply chain, or product development (cosmetics or CPG preferred).
• Strong systems aptitude with experience in ERP systems (NetSuite preferred).
• High attention to detail and strong organizational skills.
• Ability to manage multiple workstreams with structure and discipline.
• Experience coordinating artwork or documentation workflows is a plus.
• Proficiency in Excel; familiarity with Asana, SmartSheet, or similar tools preferred.
• Clear written and verbal communication skills.
• An analytical mindset with comfort managing structured data.
• Ability to work cross-functionally in a fast-paced environment.
• Experience working with vendors, contract manufacturers, and external stakeholders is a plus.
• Ability to travel to vendors and plants (10–15% of the time)
• Authorization to work in the United States without current or future sponsorship is required.
• Availability to work on-site in El Segundo a minimum of 3 days per week
