Who You Are
We are looking for a detail-oriented Escrow Assistant to serve as the operational backbone of our closing team. This role is responsible for the technical and administrative lifecycle of the file within a multi-channel joint-venture (JV) environment. We value proactive problem-solvers who manage multiple streams of information, maintain high accuracy, and follow segregated partnership protocols.
What You’ll Do Here
- Multi-Channel Workflow Coordination: Execute administrative tasks across segregated JV workstreams. Monitor and triage multiple dedicated email accounts, ensuring branding and data remain partitioned in accordance with partnership protocols.
- Requirement Procurement: Independently move files toward "clear to close" by securing necessary curative documentation, including payoff statements, release of liens, T-47 affidavits, and HOA resale certificates.
- Settlement Preparation: Input transactional data into the escrow system to produce accurate preliminary settlement statements and Closing Disclosures, ensuring all Texas-specific fees and endorsements are accounted for.
- Funding & Post-Closing Integrity: Facilitate the "dry funding" and "instant funding" processes. Manage e-recordings across various Texas counties and ensure the final title policy is issued and delivered per lender requirements.
- Strategic Communication: Provide consistent, professional status updates to all parties, ensuring that agents and lenders are informed of outstanding requirements through the appropriate communication channels.
What You Bring
- Industry Foundation: 1–3 years of experience in a Texas title office, mortgage firm, or real estate law environment.
- Operational Discipline: A "check-twice" mentality with a focus on procedural accuracy and the ability to manage a high-volume task list with minimal oversight.
- Technical Agility: Proficiency in navigating multiple software instances or tiered communication portals concurrently; ability to quickly master new escrow technologies.
- Information Management: Superior organizational skills, specifically regarding inbox management and the ability to triage information from multiple sources without cross-contamination.
- Texas Knowledge: Understanding of Texas Title Commitment Schedules A through D and the general requirements for a Texas real estate closing.
