Summary

The Purchasing Administrator is responsible for managing and coordinating the procurement of goods for the organization. Working as a part of a team, the Purchasing Administrator work closely with suppliers to secure the best prices and terms, and with internal departments to ensure that inventory levels are maintained and that products are ordered in a timely and efficient manner.

Other duties of a purchasing administrator include processing orders, updating inventory management systems, communicating with suppliers, and preparing reports for management. They play a critical role in ensuring the smooth operation of a business by ensuring that the right products are available at the right time and at the best possible cost.

The ideal Purchasing Administrator is highly attentive to detail, has strong communication skills, maintains a long and focused attention span, and is task oriented.

Qualifications

  • 2+ years work experience in administration.
  • Prior experience in purchasing is an asset.

Job Responsibilities

  • Preparing inventory purchase orders.
  • Investigating and resolving inventory and invoicing variances.
  • Assisting with the preparation of monthly purchasing reports.
  • Coordinating with vendors and logistics professionals to ensure timely delivery of orders.
  • Contributing to the overall management of maximum and minimum inventory levels.
  • Performing data entry and maintenance of database.
  • Checking outstanding orders and invoices and coordinating with vendors and store warehouse staff to resolve any issues.

A Day in Life of a Head Office Administrator

Each day of a Purchasing Administrator is busy and dynamic. A typical day begins with you checking emails and voicemails and responding to urgent requests or inquiries from suppliers or store managers regarding inventory or orders. You will also review daily sales reports to determine which items are running low and need to be reordered. Monday and Tuesday are always particularly busy as these are the heaviest purchasing days each week. You will also regularly update the inventory management system so that the inventory levels you are working on are accurate and up-to-date.

Schedule

  • Full-time (40 working hrs/week);
  • In-office role
  • This position is temporary for the duration of a current 18 month leave. At the end of the term, there may be opportunity to continue on in a permanent role.

Compensation

  • $22.00 - $24.00. Wage is commensurate with experience
