Global Events Production Co-op - Fall 2025

The Global Events Production Co-op will play a critical role in executing INBOUND 2025, HubSpot's largest marketing event of the year. The co-op will get a multi-faceted in-person live event production experience during their time at HubSpot and be considered a key team member. This position is more than just note-taking; the co-op will be responsible for owning and leading projects from start to finish (with support from their manager, of course). Co-ops of the past have a real sense of contribution to core parts of the event while enjoying being part of an events team. This includes navigating the complex execution of various simultaneous projects and working with multiple vendors and internal stakeholders while keeping on schedule, budget, and overall creative intent. 

Planning an event this big is a lot of work, but a ton of fun! The month before the event is when you see our team at its best, so the fall co-op position is a perfect time to come on board--be prepared to hit the ground running! Some of our co-ops return to INBOUND year after year to help out at the show as consultants and have said it's been one of their favorite co-ops to date. This is a full-time (40 hours/wk) role that can be Remote OR in office in Cambridge, MA

The Co-op position will run from July-October 2025 

In this role, you'll get to:

  • Support event production and management by assisting with INBOUND and Partner Day logistics, preparing event materials, helping with setup and breakdown, taking detailed notes during production meetings, assisting with event supplies, and providing general support to the production team while learning about all aspects of live event execution.
  • Oversee the INBOUND and Partner Day customer service inboxes, respond to all inquiries, and provide customers with event information. Act as a brand ambassador for INBOUND and provide world-class service to all customers who contact our customer service inbox.
  • Resolve customer issues and complaints promptly through email pre-event and during the event. Assist with day-to-day attendee and HubSpotter communication, such as our slack channels, and online communities. 
  • Update Support Articles and Saved Replies, including editing old resources and adding or updating them as new themes emerge.
  • Achieve a thorough understanding of our event experience, registration platform, attendee communications platform, and tech products to better provide attendee support.
  • Handle refunds, discounts, and attendee payment information with accuracy and attention to detail. Research, review, and organize data to help support strategic decisions related to production, such as reviewing attendee feedback.
  • Work with established team project management tools to track and organize all project-related deliverables.
  • Help with organization, review, and collection of assets or information needed in the creation of production-related deliverables, such as sponsorship, marketing, content, and creative deliverables.
  • Additional responsibilities, as needed in producing large-scale events. 

We’re looking for people who:

  • Are confident, ask questions, participate, and take the initiative to assist where they see opportunity. 
  • Work well autonomously after being given instruction; remain organized and are detail-oriented.
  • Can form strong connections with their colleague(s), internal stakeholders, and external vendors.
  • Is an extremely collaborative thinker and team member with an interest in learning and contributing to the production of various events at all stages of production.
  • Excellent written communication skills; able to effectively communicate to all levels of management and customers.
  • Creative problem-solver with genuine curiosity about AI and its potential to transform industries, who can bridge the gap between technical innovation and practical business applications.
  • Comfortable working with event registration tools and customer service tools.
  • Experience in customer service for large-scale events and B2B support is a plus.

Requirements:

  • Currently enrolled in an educational program through December 2025
  • Ability to travel to San Francisco for INBOUND support in September 
    • Don’t worry-the company covers your travel! 
  • Ability to work full-time (40 hours/week) from July-October 2025.
  • Someone with a Growth mindset, a go-getter, and comfort with ambiguity. 
  • Strong communication, customer service, and project management skills.
  • Strong interest in event production and event/meeting planning and production.

Cash compensation range: 25 USD Hourly

The cash compensation above includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot’s bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot’s equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Individual compensation packages are based on a few different factors unique to each candidate, including their skills, experience, qualifications and other job-related reasons.
