ABOUT THE ROLE

As an Office Culture and Executive Support Administrator at our corporate office, you will be the backbone of our administrative operations, ensuring smooth and efficient functioning of the workplace. You will play a pivotal role in maintaining a productive and organized environment, supporting various departments and personnel. Your responsibilities will encompass a broad spectrum of administrative tasks, ranging from overseeing office supplies to coordinating meetings, managing vendors, and implementing/supporting culture initiatives.

Some of the key responsibilities you should expect are the following:

Administrative Support:

  • Provide comprehensive administrative support to the corporate team, including scheduling, correspondence, and document preparation.

Visitor and Contractor Management:

  • Coordinate visitor access to the office, ensuring compliance with security protocols.
  • Facilitate the onboarding process for new team members, contractors, and vendors entering the office.

Communication and Coordination:

  • Serve as a point of contact for internal and external communications, redirecting inquiries and disseminating information as needed.
  • Coordinate and communicate effectively with various teams within the company and external stakeholders.

Office Management:

  • Oversee the day-to-day office operations, managing supplies, equipment, and maintaining a clean and organized workspace.
  • Coordinate with the IT team for office-related needs.

Documentation and Record Keeping:

  • Maintain accurate and organized documentation, including mail, contracts, invoices, and administrative records.
  • Assist in document preparation and record-keeping related for the corporate office.

Security and Access Control:

  • Support security measures by managing access control systems, visitor logs, and monitoring security protocols.
  • Collaborate with the IT team to ensure a secure and controlled environment.

Event Coordination:

  • Assist in planning and coordinating events, such as training sessions, meetings, tours, and culture initiatives.
  • Manage logistics, catering, and other event-related details.

Emergency Response and Safety:

  • Collaborate with the safety team to ensure adherence to safety protocols and emergency response procedures.
  • Assist in organizing and participating in regular safety drills.

Expense Management:

  • Process and track expenses related to office supplies, events, and other administrative needs.
  • Contribute to budget tracking and financial reporting.

Collaboration with Human Resources Team:

  • Work closely with Human Resources to support their administrative needs.
  • Foster a collaborative and positive working environment within the corporate office.

Confidentiality and Compliance:

  • Handle sensitive information with discretion and ensure compliance with data center security and privacy policies.

Office Culture

  • Ensure lunches are ordered for the office every week, coordinate with vendors to deliver timely deliveries.
  • Create office atmosphere that is inviting, collaborative, and functional, including sourcing new decor, lighting, and other ideas for a great office environment.

Executive Support

  • Plan and book travel and meetings for executives .
  • Maintain corporate apartment bookings, cleanings, and more.

And other duties as assigned. 

ABOUT YOU

  • Proven experience as office administrator, Executive Assistant, or like position
  • Competitive spirit with a strong desire to succeed, exceeds goals, and maximizes opportunities
  • A positive attitude and love for making teams happier and more efficient
  • Effective oral and written communication skills
  • Excellent judgment and decision-making abilities
  • Strong organizational and planning skills
  • Must Pass a motor vehicle check
  • Bilingual in English and Spanish is a plus+
