 Fleet Coordinator

Location: Irving, Hybrid/Remote
Department: Operations
Reports To: Application Leader

Position Summary

HVAC RNTL is seeking a highly organized and detail-oriented Fleet Coordinator to support the daily management and movement of rental equipment across our operations network. This role will be responsible for coordinating equipment reservations, allocating fleet assets, managing trucking logistics, and supporting the efficient fulfillment of customer orders.

The ideal candidate thrives in a fast-paced environment, communicates effectively across departments, and can balance multiple priorities while helping maximize fleet utilization and customer satisfaction.

Key Responsibilities

  • Manage fleet reservations and equipment allocation in coordination with the sales team to maximize utilization and revenue of HVAC RNTL assets
  • Select and assign equipment within the Prexa system to fulfill customer orders
  • Coordinate internal trucking moves and equipment transfers between branches and job sites
  • Serve as the primary point of contact for long-haul transportation coordination
  • Work closely with operations, service, and sales teams to ensure timely delivery and availability of equipment
  • Communicate transportation schedules, equipment availability, and logistics updates across departments
  • Assist in prioritizing fleet movement activities during peak seasonal demand
  • Support efficient execution of after-hours or emergency equipment moves as needed
  • Collaborate with leadership on equipment utilization strategies and operational planning
  • Maintain accurate records and documentation related to fleet movements and logistics activity

Qualifications

  • Previous experience in fleet coordination, logistics, dispatching, transportation, rental operations, or related field preferred
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Experience working with ERP or fleet management systems; Prexa experience preferred
  • Excellent communication and problem-solving skills
  • Ability to coordinate effectively with multiple departments and external vendors
  • Strong attention to detail and sense of urgency
  • Proficient with Microsoft Office applications and general computer systems

Preferred Skills

  • Experience in HVAC, construction equipment rental, transportation, or industrial service industries
  • Understanding of trucking logistics and equipment scheduling
  • Ability to adapt quickly to changing operational priorities

Compensation & Benefits

  • Competitive salary range: $80,000 – $95,000 annually
  • Bonus opportunity available
