About The Role:

We’re hiring our first-ever Surgical Team Coordinator. This is a hybrid role designed for someone who thrives both on the floor and behind the scenes. You’ll act as the operational backbone for a dedicated surgical team, partnering directly with a board certified Surgeon and coordinating a driven team of clinical staff. You’ll run appointments, support patient care, and step into procedures when needed.

What You’ll Do

Clinical + Appointment Support

  • Run appointments including history taking, patient intake, and client communication
  • Assist with exams, diagnostics, and treatments as needed
  • Support pre-operative and post-operative workflows
  • Step in for hands-on patient care, restraint, and basic technical procedures
  • Ensure accurate and timely medical record documentation

Surgical Team Coordination

  • Act as the central coordinator for one surgeon and their clinical team 
  • Own daily scheduling flow: appointments, procedures, rechecks, and follow-ups
  • Ensure all cases are fully prepped ahead of time (labs, imaging, history, estimates)
  • Track down missing information before it becomes a problem
  • Keep the team aligned, on time, and moving efficiently throughout the day

Surgeon Support

  • Prepare the DVM for consultations with organized case summaries
  • Anticipate needs before appointments and procedures
  • Assist with client communication workflows and discharge planning
  • Serve as the go-to problem solver for anything that could disrupt the schedule

Operational Ownership

  • Identify inefficiencies and help build better workflows
  • Coordinate across departments (surgery, anesthesia, client care)
  • Help establish structure in a growing, fast-moving environment

What You’ll Bring

  • 2+ years of experience as a Veterinary Assistant, Technician, LVT or Lead Assistant
  • Strong clinical foundation (appointments, patient handling, basic procedures)
  • Experience supporting surgery or specialty medicine is a plus
  • Exceptional organizational and time management skills
  • Ability to juggle multiple priorities without losing detail
  • Clear, confident communication with both clients and team members
  • Comfort working in a fast-paced, evolving environment
  • A proactive mindset (you don’t wait to be told what’s missing)

  • The salary range for this role is: $29-$35/hr. Additional incentives for candidates with an LVT or VTS.

Full-time Veterinary Assistants in good standing can advance their careers through our fully sponsored Penn Foster Veterinary Technician Degree Program, one of the few AVMA-accredited online programs in the country. We pay for up to four semesters of tuition directly and support you along the way with structured check-ins and flexibility to complete required externships. After graduation, we also cover your VTNE exam and licensure fees, with no post-graduation work commitment required.
