Facilities Coordinator - Analyst

About the Role
iCapital is seeking a proactive and customer service-driven Facilities Coordinator to join our Workplace department. As part of the Facilities team, this individual will play a key role in creating a welcoming and efficient environment that fosters positive employee experience. The ideal candidate thrives in a fast-paced setting and is passionate about creating a dynamic work environment. This position will help maintain the day-to-day operations of the office, support employee experiences initiatives and ensure all facilities-related needs are addressed in a timely manner.
Responsibilities
- Oversee all catering operations, including planning, ordering, setting up, and the breakdown of team meals, internally and externally for events.
- Collaborate, organize and order New York office breakfast and lunch through multiple vendors weekly on specified days.
- Coordinate and manage happy hours every other month to promote team bonding.
- Plan and execute cultural confetti events every other month to celebrate diversity and inclusivity.
- Manage internal communications with the Marketing team to upkeep and align workplace events, resources, and culture, via the Hub, our company’s internal website.
- Identify new and innovative ways to enhance employee experience and workplace culture.
- Collaborate with the team to explore and introduce new snacks, products, and offerings that promote a dynamic and enjoyable work environment.
- Provide back-up support for team members during lunch breaks, time off, or other absences.
- Work together with the Facilities’ team to ensure the office is clean, organized, and operates smoothly.
- Improve processes proactively as needed.
Qualifications
- Work on site in our New York City office Monday to Friday, 9:00 AM – 6:00 PM (schedule may fluctuate based on facility needs)
- Strong customer-centric and collaborative mindset with a professional demeanor and appearance
- Able to maintain composure and effectiveness under pressure
- Exceptional time management, organizational, and prioritization skills
- Excellent verbal and written communication skills, able to engage with all levels of the organization
- Enthusiastic team player who delivers high-quality work and maintains a positive environment
- Highly organized, detail-oriented, and able to see the bigger picture
- Proficiency in Microsoft Office Suite and the ability to learn new systems quickly
Benefits
The base salary range for this role is $ 65,000 to $ 75,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus. We believe the best ideas and innovation happen when we are together. Employees in this role will work in the office Monday-Thursday, with the flexibility to work remotely on Friday.
