Corporate Finance, Equity Operations - Analyst / Associate

About the Role

iCapital is seeking a highly motivated and detail-oriented Equity Operations Analyst or Associate to join the Corporate Finance team. As operations continue to scale, this role offers direct exposure to the full equity administration lifecycle, from grant issuance and reconciliation through compliance, audit, and investor reporting - within a fast-moving, process-driven environment.

The ideal candidate brings a strong execution mindset, a high degree of data discipline, and a genuine interest in equity compensation and financial operations. This role will work cross-functionally with the Finance, Human Resources, Legal, Payroll teams and external vendors, and will play a meaningful role in building the operational infrastructure that supports equity programs at scale.

Responsibilities

  • Administer equity award issuances, modifications, and updates on the Equity Management System, ensuring accuracy across all transaction types
  • Execute grant issuance and vesting workflows with a focus on data integrity, timeliness, and compliance with plan documentation.
  • Perform rigorous data reconciliations between the Equity Management System and source records and investigate and resolve breaks proactively.
  • Maintain detailed monthly reconciliation logs and produce clear activity summaries for internal stakeholders.
  • Partner with Payroll to support federal, state, and local tax withholding calculations on equity events.
  • Drive year-end equity tax form reconciliations in coordination with Finance and Human Resources.
  • Own ongoing data quality monitoring and identify discrepancies early, escalate appropriately, and document resolution steps.
  • Prepare, organize, and deliver audit-ready documentation across multiple jurisdictions.
  • Own audit request trackers end-to-end such as intake, assignment, status monitoring, and on-time delivery
  • Maintain jurisdictional filing calendars and compliance trackers, proactively flagging upcoming deadlines to the team.
  • Compile and quality-check all inputs required for local regulatory filings before submission.
  • Build and maintain country process documentation to support consistency, scalability, and audit readiness.
  • Lead onboarding and documentation workflows for legal, tax, and operational vendors.
  • Manage the full invoice lifecycle like receipt, requisition creation, approval tracking, and payment confirmation.
  • Follow-up to resolve processing delays, flagging aging items to management before they become issues.
  • Coordinate the production and distribution of quarterly investor reporting packages, ensuring accuracy, completeness, and consistency.
  • Serve as the operational point of contact for year-end investor audit inquiries, managing timelines and deliverable quality.
  • Maintain organized, audit-ready filing systems for all investor-facing materials.
  • Own and continuously improve key operational trackers spanning equity activity, audit status, and vendor management.
  • Deliver concise, data-driven status updates and operational summaries to senior leadership on a regular cadence.
  • Identify gaps in existing tracking infrastructure and propose scalable solutions as volume grows.
  • Build and maintain operational dashboards that surface key metrics such as grants processed, open audit items, vendor payment status, and inquiry volumes.
  • Analyze turnaround times and completion rates to identify process bottlenecks and support continuous improvement initiatives.
  • Support ad hoc data pulls and reporting requests from Finance, Legal, and Human Resources leadership

Qualifications

  • 0–4 years of experience in a finance, operations, accounting, equity compensation, or data-focused role within a financial services, fintech, asset management, or corporate finance environment
  • Bachelor’s degree in finance, accounting, economics, or a closely related field required
  • Exposure to equity compensation administration, financial reporting support, or audit and compliance processes is a strong plus
  • Experience working with equity management systems (Carta, Shareworks), HRIS platforms, or similar data and workflow tools is preferred
  • Prior experience in a role requiring cross-functional coordination across Finance, Legal, HR, and Payroll is highly valued
  • Familiar with regulatory filing environments and multi-jurisdictional compliance processes is a plus
  • Exceptional organizational skills and able to manage multiple equity trackers, compliance workflows, and deadlines simultaneously without loss of accuracy
  • High degree of data discipline and attention to detail and proven ability to work with structured datasets and reconcile information across systems
  • Strong technical proficiency in Microsoft Excel, including data modeling, pivot tables, and reconciliation workflows; comfort handling large operational datasets
  • Able to operate within a highly controlled environment with defined approval workflows, segregation of duties, and audit-ready documentation standards

Benefits

The base salary range for this role is $70,000 to $110,000.  iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
