Executive Assistant

The Opportunity: Executive Assistant

We are seeking an experienced and professional an Executive Assistant to support a Firm Partner / Co-Founder as part of their administrative team. This position will handle core administrative assistant duties as well as a wide array of other responsibilities including special ad hoc projects. Confidentiality, sound judgment, effective multitasking and a strong work ethic are imperative to success. The Executive Assistant will also collaborate closely with other members of the ICONIQ Support Team and other ICONIQ colleagues.

 

Principal Responsibilities:

  • Proactively manage complex and high-volume email inbox, provide support on ghost writing and email management, and support handling of a dynamic calendar
  • Support on travel planning and execution, periodically across different time zones
  • Manage data entry, tracking and coordination for a variety of initiatives, including contact management in both Outlook and Salesforce, logging of prospect and client interactions, tracking team action items and ideas, and introductions made across the network
  • Logistical organization for mass outreach efforts, including marketing sends, holiday gift/card campaigns, etc.
  • Create and drive systems to elevate efficiency and effectiveness of administrative processes
  • Managing compliance and gift recording on behalf of the firm’s Partner / Co-Founder
  • Timely responsiveness outside of "regular" business hours
  • Maintain and execute tasks independently

 

Qualifications:

  • 3+ years of experience working in Private Equity, Investment Banking and/or Consulting environments strongly preferred, but not required
  • Superior communication skills, unquestioned integrity, and the experience, confidence, and presence to work with all levels of the firm including external counterparts
  • Highly motivated, self-driven, solution and detail-oriented
  • Positive attitude, no task too big or too small
  • Strong time management skills: ability to handle multiple concurrent assignments with a strong degree of accuracy and meet deadlines in a high-pressure environment
  • Ability to think independently and provide creative solutions
  • Proficient experience with Microsoft Office required, experience with Salesforce and Monday.com ideal, but not required

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current salary range is $120,000.00 - $130,000.00 together with a discretionary bonus, health insurance, paid time off, 401k participation with a company matching program, wellness stipend, personal education allowance as well as a commuter benefits program.
