Executive Assistant

We are seeking a highly organised and proactive Executive Assistant with great attention to detail to support a Partner and two Principals in our London office. Confidentiality, sound judgment, effective multitasking and a strong work ethic are imperative to success. The Executive Assistant will work closely with the current Support Team in the London office as well as collaborating closely with the wider ICONIQ Growth Support Team.

 

What You’ll Do:

  • Own and proactively manage multiple complex, changing, high-volume calendars across multiple time-zones.
  • Proactively captures, enters, and manages upkeep of meeting notes, contacts and other relevant data in Salesforce and other systems to help build an institutionalized process.
  • Coordinate any time tracking and reporting requirements as necessary with internal stakeholders.
  • Proactively and strategically coordinate internal and external meetings, team events, and meeting materials.
  • Provide additional administrative and team project support as needed.
  • Take care to build rapport across the ICONIQ Capital Markets team and work collaboratively with other colleagues in the London office.

 

Ideal Candidate Background:

  • 5+ years of experience in an executive support or administrative role, ideally within Venture Capital, Private Equity, Private Wealth Management, Management Consulting, or Investment Banking.
  • Strong desire to learn and collaborate in an entrepreneurial, fast-paced environment
  • Exceptional communication skills, unwavering integrity, and the confidence to engage with all levels of the firm and external stakeholders.
  • Strong time management skills; capable of handling multiple priorities with accuracy and meeting deadlines in high-pressure situations.
  • High emotional intelligence with the ability to navigate complex interactions diplomatically.
  • Proficiency in Microsoft Office required; experience with Salesforce preferred.
