Onsite Events and Facilities Coordinator

Role Summary

The Onsite Events and Facilities Coordinator plays a key role in supporting a welcoming, functional, and community-driven office environment at ID.me’s Tysons, VA headquarters. This role reports to the Senior Security Operations Manager and is part of the Facilities & Security team. The position is responsible for the smooth execution of in-office events and experiences, while also assisting with day-to-day office operations, facilities coordination, and administrative duties.

This role works closely with the People Experience (PX) team to execute cultural events outlined in the PX Community Calendar and contributes directly to the overall employee experience and workplace satisfaction.

Essential Functions

Office & Facilities Operations

  • Assist the Senior Office Manager with daily operations and workplace experience needs
  • Maintain office supply and inventory management (kitchen, equipment, event supplies)
  • Ensure organization and cleanliness of shared spaces, breakrooms, and supply areas
  • Complete daily site walks with Manager to identify facilities/cleaning concerns and coordinate resolution with appropriate parties
    • Coordinate minor maintenance requests and building-related needs
  • Ensure that kitchens and other public use areas are stocked appropriately
  • Participate in facility-related projects, including workstation moves or office reconfiguration
  • Ensure compliance with office policies, safety guidelines, and wellness standards.
  • Execute with timely set up and dismantling of office themed and festive decor
  • Update bulletin boards on site monthly to drive morale 
  • Facilitate the procurement of company lunches, snacks, and promotional merchandise (swag).
  • Arrange external meeting spaces and conference rooms for various departments.

Event & Program Execution

  • Lead execution of in-office employee events based on PX’s Community Calendar (e.g., birthdays, holiday celebrations, employee appreciation)
  • Coordinate logistics for event setup, catering, supplies, décor, and cleanup
  • Manage day-of-event execution including AV, signage, and scheduling
  • Partner with PX for event planning and receive creative content (flyers, messaging, branding)
  • Maintain organized inventory of event-related materials and reusable decor
  • Collaborate with PX and the Senior Office Manager to plan and deliver large-scale or offsite events.

Cross-functional Collaboration

  • Attend monthly planning meetings with PX to align on upcoming company and culture initiatives and employee engagement events
  • Liaise with IT, security, and external vendors to ensure successful event and office operations
  • Maintain relationships with service providers (catering, printing, rentals, etc.)
  • Prepare weekly reports summarizing updates and activities for leadership

Non-essential / Marginal Functions

  • Receive deliveries, mail, and organize package deliveries as well as prepare outgoing mail and packages
  • Serve as backup for visitor check-ins and general front desk support
  • Other duties may be assigned as needed

Preferred Qualifications

  • 2+ years in office coordination, facilities support, or event logistics is a plus
  • 2+ years of experience supporting or collaborating with senior managers a plus
  • Professional-level verbal and written communication skills
  • Proficiency in Google Workspace, Slack, Zoom, and scheduling tools
  • Ability to be onsite full time and physically assist with event setup as needed

Physical Requirements

Mobility & Movement

  • Ability to stand and walk for extended periods (e.g., during events, site visits, and setups).
  • Ability to climb stairs, move between indoor and outdoor venues, and navigate large event spaces.
  • Ability to bend, reach, or kneel when setting up materials, signage, or displays.

Lifting & Carrying

  • Ability to lift, carry, or move event-related or office materials (e.g., boxes of supplies, signage, décor items) — often ranging from 15–30 lbs (sometimes more, depending on the role).
  • Ability to push or pull carts with event supplies.

Sensory Requirements

  • Sufficient vision to read signage, seating charts, and contracts.
  • Adequate hearing to communicate in noisy environments (crowds, AV checks).
  • Adequate vision for reading documents, spreadsheets, and computer screens.
  • Adequate hearing to participate in conversations, phone calls, and virtual meetings
    • Adequate vision and hearing to perform essential job functions.

Manual Dexterity

  • Ability to handle event tools and materials (e.g., arranging displays, plugging in AV equipment, assembling booths).
  • Proficiency with computers and mobile devices for scheduling, communication, and on-site coordination apps.
  • Frequent use of hands/fingers for typing, writing, filing, and handling documents.
  • Ability to operate standard office equipment (computers, phones, copiers, printers, scanners).

Work Environment

  • Ability to work in varied conditions (indoor/outdoor, hot/cold weather, evening/weekend hours).
  • Ability to remain calm and focused in fast-paced, high-stress environments.
  • Ability to work standard office hours with occasional flexibility for meetings or deadlines.

Additional Requirements

  • Role is fully in-office at the Tysons, VA headquarters
  • May require occasional early mornings or evenings during events
  • Light travel to other ID.me office locations may be needed

The annual base salary listed does not include a company bonus, incentive for sales roles, equity and benefits which will be determined based on experience, skills, education, relevant training, geographic location and role.

The above represents the anticipated total rewards package for this job requisition. Final offers may vary from the amount listed based on qualifications, professional experiences, skills, education, relevant training, geographic location, and other job related factors.

Pay Range

$60,000 - $80,000 USD
