Job Summary:
We are looking for a high-output Proposal Specialist to join our sales team to support 350+ RFP responses to media agencies whose clients are pharmaceutical brand teams. The majority of these RFPs are managed during our busy season, which falls between July and December.
This is a production-forward role built for someone who thrives on managing a high-volume workload, takes pride in polished deliverables, and can move fast without sacrificing quality. You will own the end-to-end execution of proposal responses, customizing slide decks, populating Excel documents, managing content and slide libraries, and keeping our template assets sharp and current.
Responsibilities
Proposal Execution
- Respond to RFPs from media agencies who manage marketing budgets for pharmaceutical brand teams, producing customized PowerPoint decks and Excel pricing responses
- Adapt templated slide decks to reflect each brand’s targeted therapeutic area and campaign objectives, while working with Impiricus’ sellers to position our products and deal strategy
- Populate and format pricing tables, product grids, and campaign summaries in Excel
- Manage an active queue of concurrent proposals under strict deadlines, particularly during the July–December peak season
- Coordinate with internal stakeholders (sales, strategy, customer success, data team, and marketing) to gather inputs needed to complete each response
- Use AI tools to accelerate first drafts, tailor boilerplate content to brand-specific objectives, and speed up research on therapeutic areas or competitive positioning, while applying judgment to ensure accuracy, tone, and compliance before submission
Content & Library Management
- Assist with maintaining and organizing the PowerPoint RFP slide library, ensuring content is current, on-brand, and easy to retrieve
- Review and update boilerplate slides on an established cadence (capabilities, case studies, data assets, team bios) as products and offerings evolve
- Flag outdated or inconsistent content and assist with periodic library audits
Quality & Process
- Proof all proposals before submission for accuracy, formatting consistency, and alignment with RFP requirements
- Monitor submission tracker in Asana and flag capacity or deadline conflicts proactively
- Contribute to process improvements that increase throughput and proposal quality over time
Education & Experience
Required
- Bachelor’s degree or equivalent experience
- 2–4 years of experience in a proposal role
- Advanced PowerPoint skills — ability to build, format, and maintain slide decks to brand standards, not just edit text
- Excel proficiency — comfortable with pricing tables, data grids, and structured formatting
- Comfort with AI-assisted writing and research tools (e.g., Claude, ChatGPT, Copilot) to support faster proposal turnaround
- Ability to read an RFP / media brief, identify what matters to media agencies and pharmaceutical brand teams, build PPT response decks from a slide repository, and ensure final responses are concise and accurate
- Proven ability to manage multiple open deadlines simultaneously with minimal oversight
- Highly organized, detail-oriented, and reliable in a remote environment
Strongly Preferred
- Experience in healthcare media, pharmaceutical advertising, health communications, or a related industry
- Familiarity with pharmaceutical brand team dynamics, media agency relationships, or HCP advertising
- Experience maintaining a shared content or slide library
- Comfort with CRM and proposal / project tracking tools (e.g., HubSpot, Asana, etc.)
The base salary range for this role is $75,000-$85,000
