Recruiting Coordinator
The Opportunity
InCharge Energy is seeking a detail-oriented and proactive Recruiting Coordinator to support our growing talent acquisition efforts. Based out of our Richmond, VA office, this role works closely with the Recruiting Manager to deliver a structured, organized, and positive candidate and onboarding experience. This role is ideal for someone with strong organizational and communication skills who thrives in a fast-paced environment and is excited to grow within the recruiting and onboarding space.
What You’ll Do
Recruiting & Administrative Support
- Post jobs to platforms including Greenhouse, ADP, LinkedIn, Indeed, and other relevant job boards (experience with any ATS is welcome; Greenhouse preferred)
- Maintain and update recruiting dashboards and reports
- Assist with scheduling interviews across departments and time zones; coordinate changes and communicate updates promptly
- Support hiring managers by preparing interview materials, managing candidate communications, and ensuring readiness throughout the process
- Coordinate background checks, reference checks, and required documentation
- Learn to screen and interview candidates over time, developing your skills as a future recruiter through mentorship and exposure to structured interview best practices
Onboarding & Candidate Experience
- Guide candidates through the onboarding process from signed offer to first day, ensuring a smooth, organized experience
- Partner with hiring managers, IT, marketing, and other departments to coordinate equipment, accounts, welcome materials, and logistics
- Host onboarding sessions and orientations as needed
- Manage onboarding paperwork, access setup, swag shipments, and first-day introductions
- Administer and track onboarding feedback surveys and suggest improvements
Project Management & Process Improvement
- Manage multiple projects and competing deadlines with strong attention to detail and follow-through
- Maintain training documentation and recruiting resources for hiring managers and interviewers
- Assist in developing and refining onboarding and interview training based on best practices
- Administer recruiting surveys and reporting tools; surface insights and recommend process enhancements
- Build and maintain relationships with technical schools and career services offices to support a pipeline of qualified candidates for entry-level and skilled trade roles
Your Experience & Capabilities
- A passion for candidate experience, inclusive hiring, and building great first impressions—demonstrated through past roles in recruiting, HR, or customer-facing positions
- 2-3 years of experience in recruiting coordination, HR administration, or general business administration
- Bachelor’s degree in a business-related field, Human Resources, or a related discipline preferred
- Experience using an ATS (Greenhouse preferred), LinkedIn, and strong proficiency in Microsoft Excel
- Excellent written and verbal communication skills
- Confidence speaking over the phone, including coordinating with candidates, hiring managers, and external partners in a professional and engaging manner
- Strong organizational skills and the ability to manage multiple priorities and deadlines
- A proactive mindset—able to identify what needs to be done and take initiative
- Comfort speaking to groups and facilitating onboarding or training sessions
- Familiarity with using AI tools to improve efficiency is a plus
US Hourly Range
$25 - $31 USD
