Job Description  

  • Job Title: Application Manager (EHR) 
  • Base Salary: $150,000 - $180,000, based on skillset, experience and location  
  • Location: USA 
  • Work model: Remote 
  • Travel Requirements: 25% of national and international travel may be required  
  • Reports to: Vice President of Product Design 

Job Summary:  

We are seeking a highly motivated and experienced Application Manager to oversee and perform application configuration, implementation, maintenance, optimization and end-user support of our electronic health records and practice management care systems. This role is essential to ensuring smooth and efficient patient care delivery and care operations within and across our medical group(s) and healthcare businesses, practice management and revenue cycle management. The ideal candidate possesses a strong blend of healthcare industry knowledge, and hands-on application configuration skills with care application systems in an outpatient setting. 

As the EHR/PM Applications Manager/Director, you will oversee the support and maintenance of the organization's Electronic Health Records (EHR) and Practice Management (PM) applications. This critical role involves managing and ensuring the smooth operation of the EHR/PM systems to meet the needs of healthcare providers, clinical staff, practice management, and billing staff. 

Essential Job Functions: 

EHR Application Software Leadership (outpatient): 

  • Lead and manage EHR application support specialists. 
  • Provide guidance, mentorship, and training to support staff to ensure high-quality support services. 
  • Foster a collaborative and efficient team environment focused on achieving organizational goals. 

Configuration Management: Configure and maintain the EMR system to meet the evolving needs of the organization. This may involve:  

  • Customizing system settings, templates, and workflows to optimize clinical and administrative processes. 
  • Managing user roles and permissions to ensure data security and compliance with HIPAA regulations. 
  • Implementing new modules and features based on organizational requirements and industry best practices. 
  • Troubleshooting and resolving system performance issues to ensure optimal system uptime and efficiency. 

EHR System Maintenance: 

  • Oversee the day-to-day operations and maintenance of EHR/PM applications. 
  • Coordinate with IT infrastructure teams to ensure the availability, performance, and security of the EHR/PM system. 
  • Troubleshooting, diagnosing, and resolving application errors, performance issues, and integration challenges. 
  • Monitor system usage and performance metrics to identify and resolve issues proactively. 

Data Management:  

  • Ensure the integrity and security of patient data within the EMR system.  
  • Monitoring data quality and implementing corrective actions to address any inconsistencies or errors. 
  • Managing data backups and recovery procedures to prevent data loss and ensure business continuity is important. 
  • It is important to collaborate with other departments to ensure data accuracy and consistency across different systems is important. 

Vendor Management: 

  • Manage relationships with EHR/PM vendors and third-party service providers. 
  • Coordinate vendor support activities, including issue escalation and resolution. 
  • Escalate application software vendor issues for resolution, manage adoption and implementation of releases, and upgrades in accordance with change management 

Health Record Application and Practice Management Planning: 

  • Participate in the development and implementation of the organization's EMR strategy and roadmap. 
  • Collaborating with stakeholders to identify system requirements and prioritize configuration and enhancement initiatives. 
  • Conducting research and staying informed about industry trends and emerging technologies in the EMR space, including ai, scribe and automation activities 
  • Evaluating and recommending new EMR features, modules, and integrations to enhance system functionality and efficiency. 

Application Technology and Data Integration:  

  • Evaluate and recommend appropriate data integration to support the EMR system. 
  • Staying abreast of the latest security protocols and implement measures to protect patient data is important. 
  • Collaborating with application software vendors, product development, medical group, and healthcare business operations teams to ensure the availability and reliability of the EMR system. 

Super User Support and Training; Documentation and Medical Record Compliance 

  • Serve as the primary point of contact for escalated EHR/PM support issues. 
  • Collaborate with clinical staff and end-users to understand their needs and optimize EHR/PM workflows. 
  • Develop and deliver training programs for healthcare providers and staff on EHR/PM functionality and best practices. 
  • Ensure documentation of EHR/PM configurations, support procedures, and user guides. 
  • Stay informed about regulatory requirements and industry standards related to EHR/PM systems. 
  • Implement and enforce compliance with healthcare data privacy and security regulations (e.g., HIPAA). 

Application Implementation, Rollout, and Continuous Improvement: 

  • Identify opportunities for process improvements and efficiency gains in EHR/PM support operations. 
  • Implement best practices and standardize support processes across the organization. 
  • Participate in EHR/PM system upgrades, enhancements, and new feature implementations.

Required Skills/Abilities: 

  • Strong understanding of EHR/PM system functionalities, integration, and interoperability. 
  • Excellent systems configuration and communication skills with the ability to interact effectively with diverse stakeholders. 
  • Knowledge of healthcare regulatory requirements, particularly related to EHR/PM systems (e.g., HIPAA). 
  • Certification in relevant EHR/PM platforms (e.g., Canvas, Epic, Athena) is a plus. 

Education and Experience:  

  • Bachelor's degree in healthcare, Computer Science, or a related field required. 
  • Minimum 5 years of experience in managing EHR/PM applications and support teams in a large (>2,000 patient population, multi-site / specialty, >50 clinicians) healthcare environment. 
  • Prior experience in healthcare consulting or supporting indigenous health initiatives is preferred. 
  • Experience with Canvas, Epic, Athena, or similar platforms is a plus. 

Physical and sensory demands:  

  • This position will require extended periods of sitting, typing, and working on a computer screen. 
  • Close vision is required for computer work. 

Working environment:  

  • This is a remote position, with expected working hours of 9:00am to 5:00pm. Adjustment of working hours may be required to accommodate time zones.
