Position Summary
Effectively provide administrative and operational support for the Mechanical Design Engineering Managers and their respective team. This position sustains the end-to-end operational flow across multiple systems and sites through data validation, reporting, and coordination. The role plays a key part in ensuring process integrity, cross-site alignment, and timely visibility of engineering activities across the organization.
Key Responsibilities
- Provide administrative support for on-boarding new engineers and admins.
- Help track feedback managers feedback / drive review of documentation to drive to formal release.
- Provide documentation support; register new hires, assign learning paths, track completions, and produce weekly training compliance reports.
- Track and update Change Orders (COs) status, ensuring Mechanical Engineer assignments are accurate and current.
- Verify missing or incomplete reviews and follow up with responsible engineers to ensure closure.
- Support the design-to-order (DTO) engineering process to help maintain customer lead time and quality expectations by communicating roadblocks.
- Validate data alignment between Engineering and Production schedule to maintain alignment for design releases.
- Work within IEM systems to perform internal audits of Bill of materials (BOM) to follow best practices and ensure Supply Chain and ERP system integration.
- Review and process IE Change Requests, create IECOs for approved CRs, monitor progress, and issue IECNs upon completion.
- Generate reports from Mechanical Engineering schedule dashboard at routine intervals.
- Support the coordination of project communication, schedules, and data consistency across systems.
- Perform other duties as assigned by Management.
Qualifications
- Technical institute certificate or equivalent professional experience preferred.
- Excellent working knowledge of Microsoft Office Suites (Excel, Word, PowerPoint, Teams, etc.).
- Experience with database management, SharePoint, and ERP systems preferred.
- Strong attention to detail, organizational skills, and sense of urgency.
- Familiarity with engineering or manufacturing environments.
- Strong understanding of production and documentation requirements and ability to effectively communicate with cross-functional teams
- Excellent written and oral communications skills to act as interface between production and the engineering team.
- Maintain controlled documents, work instructions, and process updates with proper version control and audit readiness.
- Possess a high degree of interpersonal and communication skills, both written and verbal, fluent in English
- Able to sustain automated IECR–IECO–IECN flows, notifications, and Power Automate scripts.(Not required but a plus)
- Desire to develop skills through on-the-job experience to advance manufacturing processes.
