Site Coordinator
Location: Jacksonville, FL
Reports To: VP Global Account Executive
Salary Range: $67,000 - $86,000 Annually
Position Summary
We are seeking a highly organized, proactive, and relationship-driven Site Coordinator to support the execution of complex, multi-site deployment projects in a fast-paced environment. The successful candidate will work cross-functionally with internal teams, external field service providers, and site management personnel to ensure smooth project execution, resource alignment, and stakeholder communication. This role requires intermediate Excel proficiency, excellent active listening skills, and strong coordination capabilities.
Key Responsibilities
- Oversee deployment timelines for power distribution equipment across multiple customer sites, ensuring compliance with approval processes for any schedule changes.
- Serve as the primary remote liaison for site teams, addressing deployment-related questions, managing customer expectations and ensuring alignment on conflicting equipment schedules and expectations.
- Foster and maintain strong, collaborative relationships with internal departments, logistics, field service personnel, and external customer contacts.
- Contribute to weekly project coordination calls, providing updates on milestone progress and identifying potential risks to timely delivery.
- Lead initial introductions between site contacts and field service teams, delivering key information to support successful startup (Sx) and commissioning (Cx) efforts.
- Maintain accurate and current project data across internal and customer-facing platforms, meeting and exceeding Key Performance Indicators (KPI) related to customer Service Level Agreements (SLA).
- Process and validate site-specific customer orders promptly, plan deployments and coordinate deliveries with logistics from finished goods inventory and/or 3PL warehousing to customer sites
- Coordinate the return process for damaged equipment, ensuring proper communication with stakeholders and adherence to standard procedures.
- Respond to site inquiries and miscellaneous requests ahead of commissioning to avoid delays and maintain project momentum.
Qualifications
- Minimum of 3 years of experience in site or project coordination/management, preferably across multiple sites and within manufacturing or construction environments.
- Post-secondary education in Construction, Business, or related field preferred.
- Strong Excel skills (formulas, filters, pivot tables); proficiency in Outlook, Word, and databases.
- Excellent communication, active listening, and relationship-building skills.
- Highly organized and confident managing conflicting priorities effectively.
- Proven experience in delivering exceptional customer service and building strong, lasting professional relationships.
- Able to work independently with attention to detail and adaptability to shifting project needs.
- Experience in fast-paced, high-demand roles involving cross-functional coordination and problem-solving.
- Proactive mindset with a strong sense of ownership and a commitment to follow-through.
Compensation actually offered for this role will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
