Role Description

This is a hybrid, senior-level role for an exceptional Executive Assistant who thrives at the intersection of high-stakes operations and executive leadership. You will serve as a trusted right hand to Insight Assurance's founders and C-level executives — anticipating needs, removing friction, and ensuring every day runs with precision and purpose.

Based in Panama City and operating in a dynamic, remote-first environment, you bring bilingual fluency (English and Spanish) to every interaction — from drafting executive correspondence to coordinating with global stakeholders across time zones. A third language is a genuine differentiator in our international setting. This role demands someone who is proactive, discreet, and capable of operating with full autonomy at the highest level of the organization.

Job Responsibilities

Executive & Calendar Support

Manage complex executive calendars, schedule high-priority meetings, and ensure executives are fully prepared and on time. Anticipate leadership needs proactively, identify opportunities to reduce operational friction, and resolve issues before they escalate. Coordinate domestic and international travel arrangements, including visas, itineraries, accommodations, and last-minute adjustments. Prepare briefing documents, agendas, talking points, and supporting materials for executive meetings.

Communication & Stakeholder Liaison

Act as the primary communication bridge between executives and internal teams, clients, partners, and external stakeholders in both English and Spanish. Draft, review, and edit executive correspondence, reports, and presentations with professionalism and attention to tone and brand voice. Screen and prioritize inbound communications, escalate urgent matters appropriately, and independently manage routine inquiries. Facilitate timely communication across global time zones while adapting communication styles to diverse audiences.

Meeting & Project Coordination

Organize and lead logistics for executive-level meetings, including agendas, materials, meeting notes, and follow-up action tracking. Support strategic initiatives and special projects by coordinating cross-functional deliverables, tracking milestones, and ensuring deadlines are met. Maintain systems to monitor progress on executive goals and company-wide initiatives. Partner with department leaders to consolidate updates and reporting for executive review.

Remote Operations & Process Excellence

Operate effectively in a remote-first environment by managing workflows asynchronously, maintaining strong accountability, and driving initiatives independently. Utilize collaboration tools such as Slack, Zoom, Jira, and Microsoft Office Suite to support seamless virtual operations. Apply AI tools such as ChatGPT, Claude, and similar technologies to automate administrative tasks, accelerate drafting and research, and improve workflow efficiency. Identify opportunities to improve administrative processes and implement scalable solutions. Handle confidential executive communications, strategic plans, and personnel matters with absolute discretion and professionalism.

QUALIFICATIONS

3+ years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff supporting C-level executives in a fast-paced, high-growth environment.

Full professional fluency in English and Spanish — both written and verbal — is required. All candidate applications and interviews will be conducted in both languages.

Demonstrated experience supporting founders or senior executives in a high-growth, entrepreneurial environment, including building scalable workflows and operating with initiative and adaptability.

Exceptional organizational skills with the ability to manage multiple high-priority tasks, anticipate needs, and deliver results independently.

Strong written communication skills with experience drafting executive-level documents, emails, and presentations in both English and Spanish.

Proven ability to operate with discretion and integrity when handling sensitive and confidential information.

Advanced proficiency in Microsoft Excel, including building reports, working with complex formulas, and presenting data clearly for executive review.

Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools such as Asana, Trello, and Jira.

Demonstrated professional proficiency using AI tools such as ChatGPT, Claude, and similar technologies to automate tasks, streamline workflows, and improve output quality.

Self-motivated and highly organized, with the ability to thrive in a remote-first environment while maintaining accountability and strong time management.

EDUCATION & EXPERIENCE

Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Experience supporting executives in professional services, cybersecurity, compliance, or technology firms is a plus.

Trilingual proficiency (Portuguese, French, or Mandarin) is considered a strong advantage due to Insight Assurance’s global client footprint.

Experience working alongside U.S.-based leadership teams from a LATAM location is preferred.

Familiarity with global compliance frameworks such as SOC 2, ISO 27001, and PCI DSS is a plus.
