Operations and Program Coordinator

We are seeking an Operations and Program Coordinator to support various aspects of ICER operations, including general operations, human resources, and program management. Job Responsibilities

The person who fills this position will support the key functions of ICER’s operations, including:

  • General Operations & Human Resources support
    • Assisting in recruiting, including posting jobs, liaising with hiring managers, screening applicants, and scheduling interviews
    • Assisting in onboarding, including scheduling onboarding calls, sharing onboarding resources, working with IT to create new employee accounts and distribute IT equipment
    • Assisting internal working groups and head of HR with culture initiatives
    • Managing office supply inventory and ordering
    • Maintaining internal knowledge base, ensuring policies and documents are up-to-date and easily accessible
    • Collaborate with Head of HR on process improvements
  • Program and Event Management
    • Planning and managing preparations and logistics for ICER’s virtual public meetings (preparing meeting materials, setting up virtual meetings in Zoom, managing registration and corresponding with attendees, supporting the public meeting dry run, managing day-of logistics of virtual events)
      • Adding summaries and information from public meetings to the Final Evidence Report (voting summaries, conflict of interest disclosures, oral comments)
    • Working across Operations and Program Teams to assist in program planning and launching new projects
      • Planning and managing preparations and logistics for ICER’s internal Lunch and Learn series
      • Creating and maintaining SharePoint and/or Smartsheet sites for projects
      • Researching external stakeholders relevant to a project
    • Assisting the Program Managers in scheduling calls with internal and external collaborators across ICER’s research projects
    • Corresponding with external stakeholders during ICER’s public comment processes, including preparing public comments for internal review
    • Planning and managing preparations and logistics for other ICER-related events as needed

Qualifications

  • Bachelor’s degree required, business, public health, or public policy degree a plus
  • The highest levels of personal initiative and attention to detail
  • Ability to work independently and with a cross-functional team
  • Highly organized and flexible with experience supporting multiple projects
  • Ability to manage multiple tasks while meeting or beating deadlines
  • Demonstrated excellent written and oral communication skills
  • Proficiency with word processing, spreadsheet, emailing, and database management software
