About the Role

InStride Health is seeking a Senior Manager of Coaching Operations & Academy to drive systems efficiency, workflow design, and training frameworks across our Coaching Department. Reporting directly to the Senior Director of Coaching, you will serve as the primary operational, workflow, and training resource for the department while maintaining and modeling the foundational excellence of the Coach Manager tier. This is an infrastructure, process, and resource-focused position rather than a live care-delivery role. Working in close partnership within our Coaching Leadership Team alongside the Senior Director and the Senior Manager of Coaching Services, you will design efficient team workflows, coordinate the InStride Coaching Academy onboarding pipeline, and partner cross-functionally with Product and Technology to integrate AI and automation tools. This role requires demonstrated experience leading teams and supporting manager-level operations; direct service experience alone is not sufficient.

Responsibilities:

Operational Workflow Design & Execution

  • Partner with the Senior Director and Senior Manager of Coaching Services to translate departmental priorities and team needs into structured, streamlined workflows that eliminate administrative friction and improve overall care delivery efficiency.
  • Support the development and maintenance of coaching resources and tools ensuring consistent and effective platform usage across all coaching cohorts.
  • Address workflow pain points surfaced by the Coaching team, implementing effective solutions that support quality care delivery.
  • Supervise and develop an operational lead, providing clear direction, performance oversight, and professional growth support.

Coach Training Academy & Capability Development

  • Oversee the department-wide Coach Training Academy and onboarding pipeline, ensuring new hires achieve readiness benchmarks and successfully transition to independent practice.
  • Develop and evolve learning pathways, advanced skill tracks, and leadership development frameworks that support coach and manager growth.
  • Identify skill gaps, emerging training needs, and performance trends across teams to inform improvements to scalable training programs, resources, and continuous learning initiatives.
  • Between hiring cohorts, sustain Academy capacity through continuous upskilling, refresher and remediation training, curriculum and rubric refinement, and coach-to-manager development pathways.

Data Tools & Performance Analytics

  • Develop and maintain data tools and dashboards that help Coach Managers easily track, interpret, and act on team performance trends.
  • Review chart audit, engagement, and workflow metrics to identify operational and system issues, and track the impact of process changes over time.
  • Provide accurate operational data inputs to inform long-term workforce planning, capacity forecasting, and team alignment decisions.

Product Integration & Change Leadership

  • Partner with Product and Technology to identify and prioritize AI, automation, and data visualization tools that directly reduce coach administrative burdens like chart auditing and documentation.
  • Translate complex product and technical changes into clear, actionable workflow instructions for coaching teams, serving as a primary change management resource.

What You Need to Succeed in the Role

  • Operations & Workflow Leadership: 3–5+ years of progressive people management and operational leadership experience within a digital health, behavioral coaching, or care delivery environment, with a focus on workflow optimization, training programs, and operational systems.
  • Collaborative Leadership & Influence: Proven ability to partner effectively within a Coaching Leadership Team, balancing strategic priorities with day-to-day operational realities while building alignment across teams and stakeholders without direct authority.
  • Process Improvement & Workflow Design: Proven ability to analyze complex operations, identify inefficiencies, and design scalable workflows that improve team execution, efficiency, and quality.
  • Training & Capability Development: Experience translating operational frameworks, playbooks, guidelines, and rubrics into effective training materials, onboarding programs, learning pathways, and development resources.
  • Data-Driven Decision Making: Strong analytical skills and experience using operational dashboards, utilization metrics, audit data, and performance trends to identify opportunities and implement effective solutions.
  • Youth & Family Support Expertise: Foundational knowledge of evidence-based behavior change models and experience working within youth and family support environments.
  • Coaching Operations Expertise: Strong understanding of coaching performance metrics, operational excellence, and team accountability. 
  • Education: Bachelor's degree in Psychology, Counseling, Social Work, or a related behavioral health field required (Master's degree preferred).
  • Compliance & Ethics: Demonstrated commitment to HIPAA compliance and experience managing sensitive and confidential information with discretion and professionalism.

The expected annual salary for this role is between $74,000-$82,500. Actual starting salary will be determined on an individualized basis and will be based on several factors including but not limited to specific skill set, work experience, licensure, etc.
