Insurity’s Next Operations Assistant
This role keeps the office running smoothly by supporting events, meetings, supplies, vendors, security, and daily workplace operations. The ideal person is organized, proactive, service-oriented, and enjoys creating a welcoming, efficient, and positive office environment.
What Our Operations Assistant Will Do
- Coordinate caterers, venues, and assist with the planning of events
- Help coordinate and plan social committee events
- Route incoming and outgoing mail.
- Answers and routes incoming phone calls
- Coordinate, organize, and prepare conference rooms for meetings
- Stock and order supplies for the office as needed. Some lifting is required
- Assist with room and meeting scheduling
- Assist executive assistants with other duties as assigned
- Assist Office Operations Manager for all onsite needs related to building management. This includes but not limited to meeting vendors, potentially after hours
- Manage building security badges and access
- Manage the seating chart and clean out desks when employees leave the company
- Work with fire and safety vendors to ensure the safety of our buildings are intact
- Walk the building every day looking for issues or ensuring tidiness of the space
- Continuously looking for ways to improve our office environment including reducing our carbon footprint and building community and culture.
- Help employees feel welcome and excited to be in our office space
- Stay up to date on industry and job-related trends and best practices, including reading relevant publications, articles, blogs, etc.
- Other duties as assigned
Who We’re Looking For Someone Who Has
- 1-5 years of experience in Facility Management
Should have following skills - Analytical and critical thinking
- Written and oral English communication
- Time management including work planning, prioritization, and
organization - Ability to handle multiple priorities or tasks
- Self-starter and quick learner
- Detail-oriented
- Active listener
- Ability to collaborate and work autonomously
- Flexible and adaptable
- Travel Required 0-10%
- Proficient knowledge and experience with:
Office 365 (Word, Excel, Outlook, Teams)
