Temporary Admissions and Financial Aid Advisor (fixed term of up to approximately one year)

Position Overview 

Reporting to the Director of Admissions and Financial Aid, the temporary Admissions and Financial Aid Advisor plays an important role in supporting prospective and current residents through the admissions and financial aid processes. This position serves as a frontline contact for applicants, providing guidance on application requirements, eligibility, timelines, and scholarship opportunities. The role requires exceptional customer service, attention to detail, strong communication skills, sound judgment, the ability to manage competing priorities, exercise independent decision-making within established guidelines, and thrive in a fast-paced environment while maintaining a deep commitment to equity, professionalism, accountability, and student success. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

Admissions Support 

  • Serve as a primary point of contact for prospective applicants via email, phone, and in-person inquiries, providing timely, accurate, consistent, professional, and supportive guidance. 
  • Exercise independent judgment to resolve routine issues and determine when to escalate matters. 
  • Guide applicants through the I-House housing admissions process, including application submission, document collection, and contract review. 
  • Review, update, and verify the accuracy and completeness of applicant records to ensure data integrity, confidentiality, and compliance with institutional policies. 
  • Support the development and delivery of admissions communications, including email templates, notifications, and informational materials. 
  • Collaborate with internal departments as needed. 
  • Participate in system testing and provide feedback on application platform enhancements to improve functionality, accessibility, and the overall user experience. 
  • Maintain accurate records and documentation, follow established procedures, and escalate complex or sensitive situations in a timely manner. 
  • Manage a high-volume workload while balancing competing priorities and meeting established deadlines.   

 

Financial Aid Support  

  • Serve as the primary contact for all financial aid inquiries, offering clear guidance and timely support throughout the application process. 
  • Review financial aid applications for completeness and assist with preliminary eligibility checks. 
  • Manage documentation tracking, support award letter preparation, and ensure deadline compliance. 
  • Collaborate with Philanthropy and Marketing to develop materials for prospective applicants. 
  • Communicate with recipients regarding required documentation and status updates, including proactive follow-up on missing, incomplete, or inaccurate materials. 
  • Maintain confidentiality while exercising discretion and sound judgment when handling sensitive financial and personal information. 

 

Outreach and Engagement 

  • Represent I-House at outreach and promotional events, including delivering public presentations, hosting and participating in informational webinars, tabling at fairs, and other recruitment-related functions. 
  • Identify and recommend new outreach opportunities and promotional events to increase applicant engagement and visibility. 
  • Support data collection and reporting for internal and external stakeholders. 
  • Participate in special projects as needed to improve the admissions and financial aid experience. 
  • Demonstrate flexibility and adaptability by supporting changing departmental priorities and operational needs throughout the year. Other duties as assigned. 

 

Required Qualifications: 

  • Bachelor’s degree or equivalent experience. 
  • At least 1 year of experience in admissions, financial aid, student services, housing, or related fields. 
  • Demonstrated commitment to providing excellent customer service, with a patient, solution-oriented, and empathetic approach. 
  • Excellent written and verbal communication skills, including the ability to communicate complex information clearly and professionally. 
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing priorities in a fast-paced environment. 
  • Commitment to diversity, inclusion, and equitable access in housing and education. 
  • Demonstrated ability to work independently, exercise sound judgment, take initiative, and consistently follow through on assignments with minimal supervision. 
  • Ability to adapt to changing priorities while maintaining professionalism and a collaborative, team-oriented approach. 

 

Preferred Qualifications: 

  • Experience in sales, recruitment, and/or customer relationship management.  
  • Experience working with international students or in a multicultural environment.  
  • Proficiency in Google Workspace (Docs, Sheets, Drive), Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint, Canva, Mailchimp, and Power BI.  
  • Experience working with student information systems (SIS), housing management software (e.g., StarRez), CRM systems, or other database management platforms. 
  • Experience presenting to groups, facilitating informational webinars, or conducting outreach and recruitment activities. 

 

COMPENSATION AND BENEFITS   

  • FLSA Status: Non-exempt, full-time (40 hours per week) 
  • Pay range: $34.38 - $37.00 paid hourly, eligible for overtime 
  • Pay is commensurate with experience and qualifications.

  • Retirement: Eligible employees may participate in our 403(b) retirement plan. I-House offers a 100% employer match on employee contributions up to 5% of eligible compensation and an additional employer non-elective contribution for eligible employees, in accordance with the terms of the plan. 
  • Time-off: Paid vacation totaling 18 days of accrual in the first year (with accrual increasing after 5 years), paid sick time, 14 paid holidays, and generous family leave and accommodations.   
  • Location: This role requires on-site presence and regular engagement with staff, leadership, and stakeholders. No remote work options are available for this role.  
  • Work hours: This role has an assigned work schedule of 9:00 am – 5:30 pm Monday through Friday. Occasional evening or weekend work during peak periods 
  • This is a fixed-term, one-year position that will start in approximately September 2026 and end in August 2027.
