As a Senior Operations Specialist, you’ll partner with our SVPs of Legal & Operations and internal teams to create a world-class legal, finance & operations department that supports an innovative, scaling company. The ideal candidate should be self-motivated, organized, resourceful, and detail oriented. This position reports to our SVP of Operations with a dotted line to our SVP, Legal and will be in our Bellevue location (~3 days/week with a flexible schedule).

Responsibilities:

  • Draft, review, and assist in the sign-off of documents, including sales agreements, GTM/Finance operational process documentation, business requirements documents or workflows and ensuring accuracy, completeness, and compliance with company policies and legal requirements.
  • Manage the task or project lifecycles from initiation to completion, including contract or activity tracking, document or test execution and establishing an organized repository of customer, finance and GTM related documents.
  • Build relationships with teams to accelerate agreements, drive continuous process improvement, attend project reviews, staff meetings, and business reviews to keep apprised of priorities. Serve as a trusted advisor and partner to the internal stakeholder groups including, without limitation, Sales Leadership, Revenue Operations, Legal, Accounting, and Product.
  • Provide project management and administrative support to understanding and documenting cross-functional business processes and update applications or company files as needed to maintain accuracy end to end.
  • Data quality & accuracy is of the upmost need and therefore ongoing data and system reviews will need to be conducted and data corrections and/or data entry to maintain accurate customer and business data.
  • Ensure that processes comply with legal and regulatory requirements, company policies, and industry standards. Coordinate with operations leaders, legal counsel and other stakeholders to address legal and compliance issues. Identify and assess risks associated with project deadlines. Work with internal stakeholders to mitigate risks and negotiate favorable results.
  • Maintain project status updates with inputs from key stakeholders and team members and publish to the Executive team on a regular basis.
  • Other projects & operational duties as assigned.

Qualifications and Education Requirements:

  •  Bachelor’s degree or equivalent practical experience.
  • 5+ years of experience in managing contracts or similar admin function (accounting clerk, project mgmt., office admin or similar).
  • 1-3 years of experience in advertisement technology or related field
  • Experience in writing and discussing agreement documents, proposal documents and statements of work for professional services engagements, or other agreements for technology services.
  • Outstanding organizational skills and attention to detail.
  • Ability to exercise independent judgment with limited degree of supervisory attention & appropriately track/maintain a decision or task log(s)
  • Excellent listening and verbal and written communication skills.
  • Ability to work with and support the use of a range of technology solutions, e.g. DocuSign, Salesforce CPQ, Lexion, and JIRA. Salesforce, ZenDesk, Concur/Tropic, NetSuite, Lexion or equivalent business application experience preferred but not required. Key tools used in role but not limited to: Google/MS Suite (Calendar/Outlook, Word/Docs, Excel/Sheets, Powerpoint/Slides, etc.), Tableau, Data Loader a plus.
  • Proven ability to collaborate effectively with internal and external partners.

Preferred Skills:

  •  5+ years of experience in consulting services partnering with sales teams to draft complex customer agreements for technology services businesses.
  • Operations or Admin support experience is required, however may be defined in many ways; problem solving, excitement in learning new things and having curiosity to research and find answers is critical.
  • Training, story-telling or communications background is a plus.

Target cash compensation range: $91,820 - 113,000 USD Annually

We are committed to providing competitive, market-informed compensation. The cash compensation above includes base salary, variable commission for employees in eligible roles, and annual bonus targets for eligible roles. In addition to cash compensation, all full time iSpotters are eligible to participate in iSpot’s equity plan to receive stock options. Non-exempt roles will also be eligible for (pre-approved) overtime pay. Individual compensation packages are influenced by different factors unique to each candidate, including their skills, experience, qualifications and other job-related reasons.

Hybrid & Flexible Workplace Policy

iSpot supports a hybrid and flexible workplace. Depending on location and work responsibilities, employees may be designated as full-time or part-time office-based or a fully remote employee. A hybrid work schedule indicates that you work in the office some days and work from home other days. The best hybrid workplaces allow for flexibility while also encouraging consistency. 

Those local or living in surrounding areas to one of our offices (Bellevue, WA; El Segundo, CA; New York, NY) will work a hybrid schedule, coming into their local office 1-3 days a week. While those in a role, not office-based and located further away from our offices, will work a fully remote schedule.
