We are seeking a Senior Event Manager (Healthcare & Pharma Congresses) with deep expertise in healthcare trade shows and pharmaceutical congress planning to lead the delivery of high-profile programs across the US and globally.
You will own the full event lifecycle—from strategic planning and HCP engagement through on-site execution and post-event analysis—ensuring every experience meets client objectives, regulatory requirements, and industry standards.
As a key member of the Client Delivery team, you’ll collaborate across account, creative, medical, and production teams to deliver best-in-class congress and trade show experiences.
What You’ll Do
- Lead the planning and execution of healthcare trade shows, pharmaceutical congresses, medical meetings, and exhibits (including booth activations, symposia, and advisory boards).
- Translate client brand and medical objectives into engaging, compliant event strategies for HCPs, stakeholders, and patients.
- Manage end-to-end congress logistics, including:
- Exhibitor planning and booth execution
- KOL and HCP engagement coordination
- Registration, travel, and hotel accommodations
- Freight, shipping, and material handling
- Oversee budgets, timelines, and vendor negotiations, ensuring cost efficiency and high-quality delivery.
- Ensure adherence to pharmaceutical compliance standards (e.g., medical/legal/regulatory review, transparency reporting, on-site compliance).
- Serve as the on-site lead at congresses and trade shows, managing stakeholders, troubleshooting issues, and ensuring seamless execution.
- Track performance metrics (engagement, leads, ROI) to inform future congress strategy and identify growth opportunities.
- Collaborate with internal teams and external partners to deliver integrated, multi-channel congress experiences (live, hybrid, and digital).
- Mentor junior team members and contribute to building strong delivery teams.
Who You Are
- 6–8+ years’ experience managing healthcare events, pharmaceutical congresses, or medical trade shows (agency experience preferred).
- Proven track record delivering large-scale congress programs (e.g., ASCO Annual Meeting, RSNA, AHA Scientific Sessions, or similar).
- Deep understanding of pharmaceutical event compliance, HCP engagement, and industry regulations.
- Strong client-facing skills with the ability to manage multiple stakeholders, including brand, medical, and regulatory teams.
- Expertise in managing complex budgets, vendors, and timelines in fast-paced environments.
- Experience supporting global congress programs and international logistics.
- Knowledge of healthcare-specific event trends, engagement strategies, and digital/hybrid solutions.
