Resourcing Manager (Event Production)

You are a Resourcing Manager who will drive freelance recruiting and team building in our fast-paced creative agency. You will act as a crucial conduit of information between account, production and creative departments. You will be responsible for leading staffing decisions, ensuring proper staff utilization of the office and review project health from the perspective of hours spent. You will also support office management. This position requires strong organizational and planning skills, decision-making within the scope of the position’s responsibilities, and the use of discretion and good judgment. This role will be reporting into the Director of Production for Asia based in Singapore.
What you’ll be doing
Core Responsibilities
- Grow and manage our freelance pool of creatives, production and account talent – we want a revolving door of amazing people to meet!
- Lead meetings relating to resource management
- Be the conduit of information between account, production and creative
- Own the planning document that allocates resource to projects, and present potential resource configurations based on requirements and availability
- Provide consultative guidance for project teams when developing project plans and approach. This may include talent recommendations, guidance on hours needed to complete the project, and provide proactive solutions for delivering client and pitch work
- Proactively manage team bandwidth tracking hours per week, throughout the year. Flag and provide solutions when the bandwidth exceeds reasonable expectations.
- Negotiate contracts and equitable fees with freelancers/suppliers working closely with the main stakeholders to ensure that resourcing is on budget
- Understand staff skillsets and assign resources based on resource skillset and project needs
- Provide leadership and direction to creative staff, managing the creative workflow process through regular check-ins to ensure high quality creative output that is aligned with our vision of a brand experience agency
- Manage projects to ensure that creative resources (external and internal) are assigned and scheduled effectively, costs are monitored, and appropriate budgets are developed
- Participate in project kick-off and debrief sessions whenever possible to ensure efficient resourcing and recap
Recruitment and Project Staffing
- You’ll manage full cycle freelancing recruiting process using the internal systems
- Facilitate interview process and hiring discussions with interviewers and hiring managers
- Drive offer process, including offer approval, extending offers and closing candidates
- Ensure freelancers have a positive experience at Jack, streamlined to allow them to do a great job with minimum administrative delay whilst completing all necessary paperwork in a timely fashion
- Play an active role in freelancer retention
- Act as an internal and external representative of Jack Morton
- Help drive and maintain the agency culture
- Create a positive environment daily where creativity can flourish
The person we are looking for, would ideally have
- Worked in Events Production as a recruiter, a resource manager or a project manager by title, but more than that, you see yourself as a staffing problem solver. You love spreadsheets and tracking data and understand that using data improves overall decision making
- Solid understanding of events production, the people and work that goes into it
- Strong negotiation, communication and problem-solving skills
- Contagious passion for the power of brand experiences in a digital age
- Experience setting up, documenting and executing a resourcing process
- You are organized and able to handle multiple tasks in a fast-paced environment
- You care about the team and ensure that they are not only busy, but working on the kinds of things that make them excel
- Ability to handle sensitive and confidential information
- You have a sense of humor – you take work seriously, but not yourself
