Job Description:

We are seeking a detail-oriented and enthusiastic Office Administrator to join our team. This impactful role is crucial for the successful setup and smooth operation of our offices in Europe. You will also be a champion of our office culture, fostering a diverse and inclusive environment.

Key Responsibilities:

  • Oversee new office fit-out projects, coordinating with multiple internal and external stakeholders across various European countries.
  • Manage daily administrative operations, including office supplies, equipment, and workspace allocation.
  • Maintain high standards of office organization, ensuring all documentation and files are managed according to company protocols.
  • Manage relationships with external vendors and service providers, ensuring site maintenance and services comply with health and safety regulations.
  • Collaborate with relevant teams to monitor and manage office-related expenses, ensuring adherence to budgets.
  • Drive team engagement and motivation, promoting a culture of collaboration and continuous improvement.
  • Organize office events and initiatives to foster team building and social cohesion.
  • Manage and resolve issues as they arise, ensuring minimal disruption to office and site operations.
  • Host and support internal and external visitors to the office.
  • Work onsite five days a week in central London.

Minimum Qualifications:

  • 1+ years of relevant experience in office administration in the UK.
  • Effective communication skills in both English and Mandarin.
  • Proficiency in Microsoft Office Suite.
  • Exceptional organizational and multitasking abilities, with a keen eye for detail.
  • Excellent interpersonal skills, capable of liaising with internal teams, external vendors, and high-profile visitors.
  • Strong problem-solving skills, with the ability to make sound decisions under pressure.
  • A proactive and adaptable approach, with the ability to thrive in a dynamic, fast-paced environment.
  • A self-starter with a strong sense of ownership and accountability.

Preferred Qualifications

  • Proficiency in French
