The Receptionist/Office Assistant is the front office administrator. The ideal candidate for this position would possess a working knowledge of office principles and a high level of organization and attention to detail. Our organization is a fast paced, growth-oriented company that is in a constant state of evolution to better ourselves. We are seeking someone adaptable and eager to learn as well as self-motivated and can work independently while being a part of a bigger team.
This role will work in our office in Alpharetta, GA and work a part time work schedule: Monday - Friday 8:30 a.m. to 2:00 p.m.
Responsibilities:
- Answering and redirecting customer phone calls.
- Handling phone calls, following guidelines for call distribution, and managing phone assignment rotation.
- Handle all outgoing mail: seal and stamp all outgoing mail, mail outgoing correspondence, take mail to post office, schedule pickup for overnight packages.
- Labeling, stamping, stuffing, and sending envelopes.
- Printing and managing mailing sheets.
- Handle all incoming mail: pick up mail from the post office or retrieve from the mailbox at the office, open, date stamp, and sort the mail for distribution to the office staff.
- Open and distribute all mail received by other delivery services (UPS, Fed-Ex, etc.)
- Distributing mail to relevant departments.
- Order all office supplies and manage/organize the supply closets.
- Manage office service calls (printers, building services, etc.)
- Learning several different software programs, specific to the insurance industry
- Monitoring front door/security.
- Refilling snacks and supplies.
- Setting up conference schedules.
- Managing break room setup and supplies.
- Running errands (e.g., buying food for P&C department staff).
- Making trips to the post office, applying postage to mailing sheets, and leaving stamped mailing sheets in a designated folder for filing.
- Restocking snacks, managing coffee and office supplies, adding new personnel to the Office Depot account, and ensuring orders are approved.
- Handling miscellaneous assignments from managers and staff.
- Light cleaning and locking up front desk.
- Handling various work tasks for P&C department or direct requests from managers.
Requirements:
- Sufficient knowledge of office principles

- Ability to prioritize and organize work
- Exceptional interpersonal skills and ability to work effectively in a team environment
- Ability to independently adhere to company policies and procedures with minimal supervision
- Proficiency with Microsoft Excel® is a plus
Qualifications:
- High school diploma
- Minimum 1 year employment in an office environment - helpful but not required
The base salary offered for the successful candidate will be based on compensable factors such as job-relevant education, job-relevant experience, training, licensure, demonstrated competencies, geographic location, and other factors. Discretionary incentive compensation may be awarded.
