Sales Operations Account Manager - Oak Essentials

About This Role

We are seeking an experienced Sales Operations Account Manager comfortable working across multiple prestige beauty retailers and creating and streamlining processes for managing priorities and deliverables across all accounts.  The Sales Operations Account Manager will be a primary liaison with the retailers for day to day communication, ensuring all initiatives move forward as scheduled, and will play a key role in creating operational efficiencies with our retailers.  This role works closely with internal teams to ensure all retailer specific deliverables are met and that strong lines of clear communication are maintained with the retailers at all times.  The ideal candidate for this position loves building relationships and will work cross functionally with internal sales and education, marketing, operations, product development, demand planning, and leadership teams and will report to the VP of Sales.

As the Sales Operations Account Manager your primary responsibilities include the following:

  • Build and manage effective working relationships with all retail accounts and be comfortable liaising with retail team members at all levels
  • Work with VP of Sales to define guidelines by account and priorities for each
  • Facilitate all aspects of the new retail account setup, including project managing all involved team members and tracking progress via a Monday project board
  • Work cross functionally with internal teams to gather questions and information and centralize all communication to and from the retailer
  • Work closely with creative, marketing and sales to gather all assets and copy needed to launch the brand on retailer’s websites and in stores and upload following retailer specific requirements
  • Ensure retailer’s assets (dotcom, linear and store signage) stay up to date and that all accounts have the most current product information and signage
  • Work closely with planning and finance to develop sales and demand forecasts by retailer, including partnering on the sales forecast by sku and proactively updating leadership on any deviation from forecast
  • Generate and analyze weekly, monthly, quarterly and seasonal sales reporting on retail sales, product sales, mix of business by channel, category, net shipments, and identify any upcoming key periods where we can make up for any business losses and proactively communicate all to leadership on a regular basis
  • Develop sales and stock plans to support retailer emails, events, animations, and promotions ensuring we have adequate POs from the retailers to support demand
  • Partner with accounting to monitor chargebacks, damages and returns and alert leadership should any fall outside the expected % of net sales for the account
  • Be the squeaky wheel with retailers, suggesting replenishment orders when their stock is getting low
  • Participate in market week meetings, taking notes and communicating follow-up action items to both internal and retail partner team members
  • Manage the side-by-side calendars to ensure sales goals and promos are on target YOY
  • Develop sales goals, KPIs, and support plans for retail activations in partnership with Education and the VP of Sales
  • Manage all aspects of planning and executing on in-store sampling, GWP’s and gratis, including creating a forecast for all in partnership with Education and VP of Sales, communicating such to PD, planning and finance, working with Ops to ensure packaging guidelines are met, obtaining POs for all from retailers and ensuring timely delivery of all
  • Maintain and project manage any larger retail initiatives and programs via Monday boards
  • Coordinate new product launches with each retailer, ensuring each has their specific launch dates and new product setup is complete to facilitate placing POs
  • Monitor incoming POs in EDI, noting ship windows, allocation by DC etc. and work with the wholesale operations team at the OE DC to ensure we ship complete and within designated ship windows.  Track each PO completely from receipt to delivery.
  • Proactively coordinate with retailers any needed adjustments to POs, ie. cancel date extensions, potential short ships, etc.
  • Partner with PD to carefully manage any sku changes (ie. IL updates, packaging updates, etc) and communicate to retailers so incoming POs reflect the accurate information and current inventory is drawn down before selling in new skus to minimize RTVs
  • Place sales orders for field team car stock, gratis, etc as needed in Netsuite for fulfillment by the wholesale operations team.

Qualifications and Requirements:

  • 5+ years of prestige retail beauty experience necessary, experience working with major beauty retailers a plus
  • Bachelor’s degree in related field or equivalent education and years of experience
  • 5+ years of sales/operations experience
  • Proficient in MS Word, Excel, PowerPoint, project management systems, NetSuite and ERP systems
  • Experience working directly with operations/fulfillment teams
  • Excellent written and verbal communication skills and ability to communicate effectively across all levels and orgs of the business both internally and externally
  • Ability to prioritize and balance competing priorities across varying retail accounts
  • Strong organizational skills
  • Ability to travel up to 30% of the time, and flexibility to book last minute trips as needed

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to move and lift heavy objects (25 pounds or more) from time to time as required

The base salary is determined by experience, education, skills, and location.
