ABOUT THE ROLE
This is a Full-Time position at the Associate tier. The role blends administrative, operational, and financial responsibilities to support leadership, oversee office management, and provide financial analysis for the EMEA region. This position requires in-office work for 4 days per week, with Fridays as work from home.

KEY RESPONSIBILITIES

Office Management & Administration:

  • Serve as the main point of contact for office and facility matters, managing internal and external engagements.
  • Front-of-house duties including reception, managing post, phone, and general inbox.
  • Oversee office maintenance, repairs, and improvements, ensuring a well-functioning workspace.
  • Manage office supplies, vendors, and service providers, negotiating competitive contracts and renewals.
  • Support internal events and logistics, including Ideas with Purpose and other office-based functions.
  • Ensure compliance with all office-related regulations, health & safety requirements, and risk assessments.
  • Assist with onboarding/offboarding of staff and contractors, including DSE checks.
  • Manage company expenses, procurement, and financial reporting related to office operations.

Financial Analysis & Reporting:

  • Support financial planning, analysis, and reporting for the EMEA region.
  • Support office and annual budgeting in collaboration with offices and functions.
  • Coordinate with the global finance team for monthly reporting and ad-hoc financial projects.
  • Provide financial insights and guidance to EMEA leadership to support decision-making.
  • Coordinate with the Project management teams on the UK project budgets.

Executive & Leadership Support:

  • Calendar and diary management for the EMEA MD.
  • Coordinate travel, hotel arrangements, and client meetings.
  • Take minutes during leadership meetings and provide reports related to operational functions.

QUALIFICATIONS & EXPERIENCE:

  • Preferably 2-4 years of experience in office management, executive support, finance, or a similar role within a consulting, client services, or not-for-profit organisation.
  • Holding an undergraduate degree, preferably in business administration.
  • Strong analytical and quantitative skills.
  • Excellent communication and presentation skills, with the ability to convey complex information clearly.
  • Detail-oriented with a high degree of accuracy and ability to meet deadlines.
  • Ability to work independently as well as collaboratively with teams across geographies.
  • Strong organisational and multitasking abilities, with a proactive approach to problem-solving.
  • Experience handling vendor negotiations, expense management, and operational logistics.
