About the Role:
We are looking for a Digital Forms & Communication Systems Analyst — a technical operations professional who can build, deploy, and manage complex online forms and structured mass communications at scale. This role is ideal for someone who thrives on logic, precision, and execution, not content strategy or customer service.
You’ll own the tooling and workflows that drive form collection, e-signature routing, campaign sendouts, and tracking for thousands of legal clients — and collaborate directly with attorneys and operations to ensure speed and accuracy in every step.
Key Responsibilities:

Design and manage advanced online forms using Jotform, Adobe Sign, or similar platforms, with conditional logic, field validations, and signature workflows

Execute high-volume client communications (email, SMS, letters).

Prepare and clean datasets in Excel using XLOOKUP, INDEX/MATCH, FILTER(), and other advanced functions to drive accurate campaign segmentation and form pre-fill logic.

Perform QA testing for form accuracy, campaign merges, and cross-platform formatting across browsers, devices, and clients.

Work directly with attorneys, case managers, and accounting to coordinate the timing and content of communications tied to legal milestones (e.g., settlement packets, signature requests, status updates).

Track performance, bouncebacks, errors, and incomplete submissions, and escalate or remediate as needed.

Maintain SOPs, error logs, and documentation of logic structures for long-term scalability and audit readiness.
Qualifications:
- High School Diploma required; Associate’s or Bachelor’s degree preferred.
- 2–3 years of experience in client communications, administrative support, or a data-focused role.
- Strong familiarity with online form platforms (e.g., Jotform, Adobe Sign, Formstack).
- Basic HTML/CSS skills for email and form editing.
- Strong understanding of form logic, field validation, and integration of web-based form tools.
- High attention to detail, especially when handling large data sets and legal documents.
- Attention to detail and comfort working with data-heavy workflows (e.g., spreadsheets, merge tags, segmentation).
- Ability to work collaboratively with attorneys and non-technical stakeholders to scope, plan, and execute communication strategies.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience with legal case management systems (e.g., Litify, Salesforce, Needles) a plus.

Work Hours:
This is a full-time, on-site position. Standard hours are Monday–Friday, 8:00 AM to 5:00 PM, with an expectation of at least 40 hours per week.
