As we continue to grow, we are looking for a detail-oriented and empathetic Client Communications Specialist to join our team and support our mission of delivering clear, compassionate, and accurate communication to our clients.
About the Role:
The Client Communications Specialist plays a key role in managing legal documentation and client correspondence throughout the settlement process. This role requires a high level of organization, attention to detail, and the ability to communicate complex information in a reassuring and professional manner. You’ll serve as a primary point of contact for clients navigating paperwork and disbursement questions, while ensuring all documentation is accurate, compliant, and timely.
Key Responsibilities:
- Prepare, distribute, and track all outbound client forms related to settlements.
- Communicate with clients via phone, email, and mail to collect outstanding documents and provide updates.
- Clearly explain settlement forms and timelines, ensuring clients feel supported and informed.
- Review returned documentation for completeness and accuracy, resolving discrepancies as needed.
- Draft and send personalized and mass client communications (emails, letters) regarding case status and next steps.
- Accurately input and update client data and document status in the case management system.
- Coordinate with accounting to ensure timely and accurate settlement disbursements.
- Maintain well-organized digital and physical files for client settlements.
- Utilize platforms like Mailchimp or Constant Contact to schedule and send mass communications.
- Handle confidential client and financial information with discretion and care.
- Assist with basic document coding (HTML/XML) to support form customization and data integrity.
Qualifications:
- High School Diploma required; Associate’s or Bachelor’s degree preferred.
- 2–3 years of experience in administrative, client services, or financial roles.
- Excellent verbal and written communication skills, with an empathetic and professional tone.
- Strong attention to detail, especially when reviewing financial and legal documents.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with legal case management software (e.g., Clio, MyCase, Needles) is a plus.
- Comfortable working in a fast-paced, deadline-driven environment.
- Discretion in handling sensitive financial and legal information.
- Bilingual (Spanish/English) highly preferred.
- Experience with email marketing platforms (e.g., Mailchimp, Constant Contact) required.
- Basic coding skills (HTML, XML) preferred.

Work Hours:
This is a full-time, on-site position. Standard hours are Monday–Friday, 8:00 AM to 5:00 PM, with an expectation of at least 40 hours per week.
