The Role

We are actively seeking a proactive and organised Office Administrator / Agency Concierge, a modern approach to Office Management. You will be the go-to person for managing our Central London office, supporting agency leaders and teams both locally and internationally.   

You will work on-site five days a week, ensuring the London office runs smoothly by providing essential support across the business.   

The Responsibilities

People Support:  

  • Assist the leadership team in preparing for internal meetings, including room set-up, taking comprehensive meeting notes and distributing action items among participants.  
  • Provide invaluable assistance with Leadership team requests when needed.  
  • Keep stakeholders informed with regular updates and highlight issues that require attention 
  • Support HR with scheduling conference rooms, interviews, travel arrangements for candidates, setting up and welcoming new hires, etc.  

 Office and Facilities Support:  

  • Act as a problem solver, directing staff to the best resources to address various issues.  
  • Handle travel arrangements, adhering to protocols and client contracts for hotel, flight, and train bookings.  
  • Manage online subscriptions and resources, keeping our digital assets up-to-date.  
  • Act as the first point of contact for incoming communications across company inboxes. 
  • Be the liaison with office landlords for any maintenance requests, ensuring a comfortable and well-functioning workspace.  
  • Manage office supplies by maintaining inventory and ensuring supplies are available when needed. 
  • Manage the maintenance of a well-organised, functional, and pleasant office space while supporting essential administrative tasks for the company.  
  • Troubleshoot and maintain audiovisual equipment for meetings and presentations. 
  • Manage shipping, mailing, and other logistical needs efficiently. 

 Event Coordination  

  • Support Fun & Wellness by helping organise special events at all four office locations of the agency, encompassing milestones, holiday parties, and other social gatherings.  

 Culture Champion:  

  • Warmly greet all individuals visiting our offices, creating a welcoming and friendly atmosphere.  
  • Be the creative eye behind our social media presence by capturing captivating pictures at various events for JPA’s social media platforms.  
  • Uphold brand consistency by maintaining uniformity in fonts, signatures, templates, and office signage, representing our professional identity.  

About You

Our ideal candidate must have:

  • 2+ years of experience in a similar position  
  • Advanced Microsoft Office skills: highly proficient in Excel and PowerPoint with a willingness to learn new software tools  
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly while maintaining attention to detail.  
  • Excellent verbal, written, and communication skills and to effectively communicate whether to a group or one on one.  
  • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.  
  • Demonstrate a proactive approach to challenges with strong problem-solving capability.  
  • Ability to learn processes quickly and efficiently.  
  • Ability to understand and communicate organisational strategy effectively.  
  • Self-motivation, focus on results, and a passion for taking initiative.
