Job Summary

The RFP Coordinator & Marketing Specialist is a key member of the JRM West team and is responsible for managing the proposal process and supporting marketing initiatives. This role requires strong communication and organizational skills and the ability to work independently while coordinating with multiple department heads and executives. Responsibilities and Duties

RFP Coordination

  • Manage RFP processes, tracking bid revisions, timelines, and marketing materials.
  • Maintain and update RFP tracking documents and deliverables checklist.
  • Confirm principal’s availability before bid submissions and communicate with the Estimator.
  • Ensure timely assignment of Schedulers and flag delays.
  • Prepare and manage proposal submissions, ensuring accuracy and adherence to deadlines.
  • Monitor and update bid sheets daily.
  • Incorporate last-minute updates for proposal accuracy.
  • Prepare A305 forms as needed.
  • Complete RFQs, tailoring submissions to highlight relevant experience.
  • Ensure all proposal documents are accurate and delivered for final bid submission.
  • Maintain a client-specific Status Log for contract terms and redlines.
  • Provide weekly bid revision updates to key stakeholders.
  • Follow up on RFP schedules and scope of estimates.

Marketing & Proposal Support

  • Prepare and manage proposal submissions, ensuring alignment with corporate standards.
  • Maintain and update marketing materials, including org charts, resumes, and brochures.
  • Design and manage marketing packages, RFIs, and proposal elements.
  • Oversee professional photography and video production for project documentation.
  • Manage digital/print content, including case studies and experience sheets.
  • Plan and schedule social media content and campaigns.
  • Refine PowerPoint presentations for consistency and impact.
  • Maintain marketing templates, digital archives, and organizational structure.

Qualifications and Skills

  • Effective communication skills, both written and verbal
  • Time-management, prioritization, and organizational skills
  • Extreme attention to detail
  • Ability to handle multiple projects simultaneously
  • Experience in Graphic Design is a plus (but not required)

Computer Systems

  • Microsoft Office 365 Suite – Outlook, Excel, Word, and PowerPoint
  • Adobe Suite - InDesign, Photoshop (preferred but not required)

Salary Information

To the extent this position is performed in California, the annual salary for this role is $75,000 - 85,000.

The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
